The Senior Administrative Assistant will oversee and manage all general office administrative duties for the Service Director and Sr. Operations Managers. The Senior Administrative Assistant also performs general clerical and secretarial duties, and provides support on office related projects.
Responsible for general office projects and assignments supporting the Service Director.
Partners with Internal Engagement POC's in formulating Engagement Plans in accordance to the Engagement Governance requirements.
Coordinates with vendors on behalf of the team in fulfilling Engagement event requirements.
Coordinates meetings, appointments, manage calendars, visit logistics and processes expense reports.
Oversees all aspects of general office coordination including, but not limited to, photocopying, filing, opening, sorting and distributing incoming / outgoing correspondences to business partners and departments.
Fills in forms and generates required documents and reports as required by the Service Director.
Provides administrative support to BU managers reporting to the Service Director.
Sets-up and coordinates meetings and conferences and books conference rooms, as required.
Makes travel arrangements for Operations team as required.
Coordinates with vendors on behalf of the Ops Managers in coordinating Engagement events and activities.
Uses discretion in disseminating information. Is highly guarded with confidential information.
Maintains records, databases, filing, contact folders and forms.
Interacts with procurement to purchases supplies for departmental needs.
Answers phones, greets visitors and treats them in a professional manner.
Uses judgement when interacting with employees, partners, vendors, and stakeholders ensuring open company culture is maintained and at the same time ensures professionalism & confidentiality.
Other duties as assigned by the Service Director.
REQUIREMENTS
Graduate of any four (4) year course.
Minimum of four (4) years experience in a related capacity (general office, customer service and/or data entry and reporting experience).
Knowledge of principles and practices of basic office management and organization
Proven experience and highly comfortable with Microsoft Office applications (Word, PowerPoint, Outlook, Excel).
Strong local knowledge & influence for event organizing.
Basic knowledge of math, ability to work with numbers
Must be a team player. Strong interpersonal and communication skills.
