As Branch Admin Support Staff your responsibility is to assist and support the implementation of: service operations, customer engagement/customer satisfaction, office administration/housekeeping, SHEQ administration, logistics & inventory control and credit/receivables collection.
JOB DESCRIPTION
Branch Admin Support Personnel: Cagayan de Oro
Service Administration & Service Operations
Coordinate with Service Planner to efficiently and effective conduct FSE assignment at all times.
Communicate schedules with customers, Aftermarket Engineers, or equipment sales engineers, etc.
Improve customers' response through effective coordination
Understand and resolve customer concerns to ensure customer satisfaction and improve NPS
Provide feedback to Service Planner as well as to CTS Support Manager for needed support in order to effectively conduct job assignment and job implementation of FSE.
Help to achieve the required KPI for service operations for all Branch service personnel.
Provide necessary document to the Service Planner and to the CTS Support Manager as required from the Branch.
Escalation at an appropriate level to resolve customer concerns to update the management about daily operations
Initiate Local Purchases for goods and services needed for service operations in coordination with responsible Purchasing Officer.
Customer Satisfaction
Help to improve customer satisfaction at the Branch
Coordinate with all concerned in order to resolve issues from the customers in order to improve NPS
Help to follow up customer response feedback.
Administration
Ensure all government and legal requirement are compliance at the branch.
Ensure compliance to Legal Requirements for Business Entities of the Local City Government such as Business Permits, among others.
Ensure that all company properties are accounted and well taken care of based on its intended use.
Help to escalate Branch personnel issues to concerned Managers
Report to BLM Branch responsible any new and additional requirement pertaining to legal, other government agencies and property/building owner.
Help to ensure proper maintenance of all vehicles and equipment use in our operations at the Branch.
Initiate Local Purchases for goods and services for admin operations
Prepare the minutes of meeting organize for the Branch staff.
SHEQ
Ensure that 5S is implemented at the branch
Ensure that all equipment at the branch are maintained on regular basis.
Ensure that all PPE use for daily operations are available.
Ensure that all safety equipment and tools are calibrated and available (example: fire extinguisher, etc.)
Logistics/ Inventory
Manage receiving and releasing of inventory of parts
Coordinate with Supply Department and CTS responsible for stock replenishment for the branch.
Proper labeling of stock such as free-stock and allocated stock.
Execute regular return of non-moving stock as well as items which were returned from customers or return by FSE.
Credit Control
To assist Credit Control department in the collection of Accounts Receivables from branch customers.
Ensure that all documents are forwarded to customers relating to collection of accounts.
Facilitate prompt collection of payment from the customers.
Participate in the regular meeting organize by Credit Control department for the branch.
