The Corporate Operations Group (COG) provides technology and market operations services to Macquarie's businesses. The Business Services Division (BSD) provides cross-group and centralised support services across Business Management, the COG Program Office, Enterprise Technology, Operational and Regulatory Risk, and Strategic Sourcing. BSD also provides oversight of the HR, Finance and Legal functions aligned to COG.
This role is positioned in the Manila IT Asset/Expense Management team which forms part of the Group Procurement department of BSD.
The Billing and Licensing Analyst will have two broad area of focus: * On the billing side, the successful candidate will play a key role in ensuring accurate and timely billing activities while maintaining strong internal and supplier relationships.
On the licensing side, a smaller element of the role will require the processing and approval of software application requests submitted via Macquarie's corporate App Store
Key Accountabilities:
Reconciliations and processing of invoices into the Coupa accounts payable system. This includes ensuring the invoicing accurately reflects usage / contracts; working with suppliers where there are discrepancies; and ensuring payment terms are met.
Inventory management of users/services - monitoring and reporting usage; and inventory uploads & reconciliations for large datasets.
Contract Management - coordinating and validating the data required to enforce existing contractual terms in addition to working closely with suppliers, business users and technical support teams to ensure compliance to contractual and commercial terms and conditions.
Management of the approval process of the payment vouchers and ensuring the invoice is submitted to Accounts Payable.
Responding to supplier invoice payments queries from clients.
Maintaining numerous Excel spreadsheets, including manipulating large volumes of data with functions such as 'Look Ups' and 'Pivot Tables'.
Licensing Analyst accountabilities:
Facilitating software asset acquisition, purchase order fulfillment, up to provisioning.
Providing software licensing guidance to end users' software requirements
Responding to requests from end users for specific Software Asset Management enquiries.
Resolving incident/requests pertaining to software asset provisioning, revocation and retirement
Contributing to software process and procedure improvements.
Selection Criteria:
Bachelor's Degree
Reconciliation knowledge and managing large datasets
Excellent problem solving skills
Proven high level of customer service
Excellent team player with the ability to cooperatively drive desired outcomes
Ability to work well under pressure to provide timely and accurate solutions
MS Office experience is required
Confident communicator (Supplier relationships and Internal Customers)
Ability to maintain reporting systems and administer its users
