Job Description
Provides administrative support to ensure efficient operation of office. Answers phone calls, schedules meetings and supports visitors.
Ensure that office is in a neat and presentable shape at all times
Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations.
Exhibits polite and professional communication via phone, e-mail, and mail.
Supports team by performing tasks related to organization and strong communication.
Be a single point of contact for various admin/ facility vendors, and work with them for the completion of the work/ projects on regular basis. Also help the vendors in the payments, feedback, work on their grievances etc.
Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
Manage documents and ensure an organized filing system is in place
Provides information by answering questions and requests.
Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
Contributes to team effort by accomplishing related results as needed.
Will work closely with the central HR and finance team.
The ability to prioritize numerous regular and ad hoc tasks efficiently
Minimum Qualifications
College graduate of any 4-year business course
With atleast 1 year secretarial/administrative work experience
Proficient with MS Office applications (Word, Excel, Powerpoint, Outlook, Teams)
Excellent verbal communication and strong writing ability in both Engligh and Filipino
Professional demeanor and attitude
Trustworthy, able to respect confidentiality
Capable of multitasking; strong time management
Well-organized, detail-oriented
