Qualifications
Ø Good verbal and written communication skills
Ø Excellent attention to detail (Analytical thinking)
Ø The ability to maintain clear and accurate records
Ø Proficient in the Microsoft Office
Ø Good administrative skills
Ø An organized and methodical approach to working
Ø The ability to concentrate on one task for long periods of time
Ø The ability to work independently and as part of a team
Ø A polite cheerful attitude, particularly when communicating with clients
Ø The ability to work to deadline
Ø The ability to balance a number of conflicting demands
Ø The ability to work under pressure
Ø The ability to learn quickly and adapt to (often complex) in-house systems
Ø Enthusiastic.
Ø Willing to work overtime when needed only.
Responsibilities
Ø Provides administrative support to ensure efficient operation.
Ø Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
Ø Answers phone calls and emails, schedules meetings and supports visitors.
Ø Monitors, creates and answers emails.
Ø Provides information by answering questions and requests.
Ø Monitors validity period and process renewal of the permits, licenses & accreditations as well as the insurances and vehicle registration.
Ø Process additional registrations with other agency, if any.
Ø Take minutes of the meeting.
Ø Collect OB forms of employees and prepare Timekeeping and Attendance Summary.
Ø Maintains 201 files.
Ø Prepares/creates letter and memorandum.
Ø Monitors DOLE regulations.
Ø Monitor bills and request payment to the Accounting.
Ø Prepares payment for monthly contribution of employees.
Ø Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
Ø Monitors lease contracts and payments.
Provide any other assistance that Admin Dep't needs.
