The Admin & Facilities Assistant Manager will supervise daily support operations of our company and plan the most efficient administrative procedures. You will lead a team of professionals to complete a range of administrative duties in different departments.
Will also oversee all building-related activities. You will be responsible for preserving the good condition of infrastructure and ensure that facilities are safe and well functioning. The goal is to ensure our business's accommodation is problem-free and safe so that employees can work under the best conditions.
Roles & Responsibilities
• Plan and coordinate all installations (telecommunications, heat, electricity etc.) and refurbishments
• Manage the upkeep of equipment and supplies to meet health and safety standards
• Inspect buildings' structures to determine the need for repairs or renovations
• Review utilities consumption and strive to minimize costs
• Supervise all staff facilities staff (custodians, technicians, groundskeepers etc.) and external contractors
• Control activities like parking space allocation, waste disposal, building security etc.
• Allocate office space according to needs
• Handle insurance plans and service contracts
• Keep financial and non-financial records
• Perform analysis and forecasting
• Plan and coordinate administrative procedures and systems and devise ways to streamline processes
• Recruit and train personnel and allocate responsibilities and office space
• Assess staff performance and provide coaching and guidance to ensure maximum efficiency
• Ensure the smooth and adequate flow of information within the company to facilitate other business operations
• Manage schedules and deadlines
• Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints
• Monitor costs and expenses to assist in budget preparation
• Oversee facilities services, maintenance activities and tradespersons (e.g electricians)
• Organize and supervise other office activities (recycling, renovations, event planning etc.)
• Ensure operations adhere to policies and regulations
• Keep abreast with all organizational changes and business developments
Qualification & skills
• Relevant professional qualification (e.g. CFM) will be an advantage
• Proven working experience as a Admin and Facilities or Supervisor/Assistant Manager
• BSc/BA in facility management, engineering, business administration or relevant field
• Strong working knowledge of Microsoft Office
• Excellent client-facing and internal communication skills
• Excellent written and verbal communication skills
• Well-versed in technical/engineering operations and facilities management best practices
• Knowledge of basic accounting and finance principles
• Excellent organizational and leadership skills
• Good analytical/critical thinking
