The Admin and Document Assistant is in charge of the organization's documentation system. He/She is responsible for managing company documents while also ensuring their accuracy, quality and integrity. He or she is responsible for the timely, accurate and efficient preparation and management of documents. He or she is also in charge of the systematic control of internal and external documents and records. He must maintain confidentiality around sensitive information and terms of agreement. Main Duties: Reports Directly to the Facilities Admin Head Control and manage the flow of documentation including filing and organizing electronic and hard copies. Reviews and maintains the accuracy of records, editing where necessary to ensure they are up to date Maintain a register/tracker of incoming and outgoing documents Check, collate and store facility documents from the different teams Develop procedures and create systems to manage company documents Files documents in physical and digital records and ensures appropriate storage. Ensure accessibility, traceability and accuracy of documents. Must be able to quickly and efficiently retrieve documents and data when needed. He must be on top or in control of the numbering, sorting, filing, storing and retrieval of both electronic and hard copy documents produced by different teams, projects or departments. Carry out weekly and monthly reports about the status and concerns of the team to the Office Supervisor and Facilities Admin Manager. Assist in monitoring and ordering of office supplies Undertake other duties as requested by the Office Supervisor and Facilities Admin Manager. Qualifications: Bachelor's Degree in any Commerce course 1 - 2 years of working experience in a related role or field At least 6 months of working experience in a related role or field Capability on Spoken and written in English and Tagalog Proficient in computer software programs such as, word processors, spreadsheet programs, powerpoint and database systems. Willing to report in Makati (Head Office).
