Job Responsibilities:
A. Finance & Accounts Support
Accounts Receivable
Accounts Payable
Enter and reconcile credit card transactions
Maintain Accounts, Admin and Contracts mailboxes
Assist with balance sheet recs, assets register etc
Assist in the documentation of policies and procedures
Assistance in general finance works & support the Senior Accountant/CFO as required.
Assist in the preparation of regularly scheduled reports
Handle sensitive information in a confidential manner
Ad hoc month end reports/ reconciliations as and when required e.g., Uber, Telstra, AWS
Manage and maintain software register
B. Contracts Support and Maintenance
Set up new contracts and variations in contract management system - Enquire
Manage contract accuracy including key data points including contact value, payment milestones & delivery milestone obligations
Have a continual view on status of all agreements and identify and action expiring contracts
C. Office and Team Administration
Answer and direct phone calls
Be the point of contact for office-related matters and liaise with HUB Co-working space staff
Organise travel and corporate events when required
HR admin tasks/ training etc
Assist in HR processes and documentation
Maintain office supplies and coordinate purchases. (Stationary, office supplies, staff equipment)
Provide support to other Departments as required
To be successful in the role you must have:
Strong contracts administration skills
Ability to use and adapt to new software or experience in Jira/Confluence and Enquire
High degree of expertise in MS Office products especially Word, Outlook and SharePoint
Knowledge and interest in internet software and computer usage.
Knowledge of office administration duties and functions.
Excellent interpersonal skills.
Analytical and problem solving skills.
Maintain strict confidentiality and level of discretion when necessary.
Attention to detail and high level of accuracy.
Ability to organise, prioritise, multi-task and work to deadlines
Team player
Independent and motivated.
