The CitiLean and Smart Automation - Department Coordinator is responsible for the delivery of day-to-day support to the Global Head of the CitiLean & Smart Automation as well as his Global Team which includes transactional and administrative assignments, activities and tasks including scheduling, handling correspondence, minuting meetings, managing calendars and appointments, arranging meetings/conferences/offsites and conference calls, making travel arrangements, creating communication material, assisting in presentation decks, support on COB exercises and site specific activities, data reporting and providing other ad-hoc administrative tasks.
The overall objective of this role is to provide a broad range of administrative support to the Global CitiLean and Smart Automation Team.
Responsibilities:
Directly supports the Head of the Global CitiLean and Smart Automation Team and his whole team
Manages day to day calendar(s) of senior management
Coordinates all aspects of executive level manager appointments, meetings, receptions and conference calls
May prepare and review materials and correspondence for meetings including minuting meetings
Assist with creation/modification of presentations, spreadsheets, MIS reports and other various documents
Coordinates travel arrangements; prepares and distribute schedules/agendas for travel
Prepares, reconciles, and tracks expense reports through Travel and Entertainment Expense system
Help with the onboarding of new employees across CitiLean Team locations
Orders supplies and process invoices through Procure to Pay system
Process and follow-up on Virtual Requests
Assists in ad-hoc reports / special projects as needed
Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency.
Qualifications:
Previous office administration experience preferably within a large and complex financial services or similar organization
Highly proficient in Microsoft Office, Excel, Powerpoint
Consistently demonstrates clear and concise written and verbal communication skills
Ability to coordinate and organize things in efficient & effective manner
Ability to drive outcomes in a timely manner
Good understanding of Citi policies / procedures
Demonstrated ability to quickly gain command of new systems
Self-motivated and detail oriented
Education:
Bachelor's/University degree or equivalent experience
