Schedule: 40hrs/week M-F 9AM to 5PM PST (12AM to 9AM Manila)
We are seeking a Virtual Bookkeeper/ Business Admin to manage all the bookkeeping aspects of our small business. The ideal candidate will be responsible for maintaining accurate financial records, preparing financial reports, managing accounts payable and receivable, and providing financial insights to help drive business growth.
The successful candidate will also manage the communication, HR, and compliance functions, as well as assist in the operational and growth aspects of the business.
Responsibilities:
Maintain accurate and up-to-date financial records using accounting software.
Prepare monthly and yearly financial reports, including balance sheets, profit and loss statements, and cash flow statements.
Monitor accounts payable and receivable and ensure timely payments to vendors and customers.
Manage all banking and financial transactions, including bank reconciliations and credit card reconciliations.
Maintain and update financial policies and procedures.
Prepare and file tax returns and ensure compliance with tax laws and regulations.
Provide financial insights to the management team to help drive business growth.
Participate in budgeting and forecasting processes.
Work collaboratively with different teams, including sales, operations, and management, to ensure financial processes are aligned with business goals.
Continuously identify opportunities for process improvements and implement changes as necessary.
Manage the Communal general email and distribute emails to managers/owners.
Schedule events and private dinners.
Schedule meetings and sit in meetings as needed.
Organize documents for use by owner/managers.
Update the employee handbook and forms for reviews and staff growth.
Pay licensing fees and keep all licenses current and up to date.
Assist in onboarding as needed/upkeeping team member files as well as communicating and updating team member information in regards to benefits.
Assist in managing and keeping the budget updated and on track.
Schedule sub-contractors.
Set up new vendor accounts - create W-9 forms and payment rails.
Assist in operational set up for new locations.
Requirements
Bachelor's degree in accounting, finance, or a related field.
Minimum of 3 years of experience in bookkeeping and financial analysis.
Proficient in Quickbooks Online and Microsoft Excel.
Strong understanding of financial processes, including accounts payable and receivable, budgeting, forecasting, and financial reporting.
Excellent communication skills, both verbal and written.
Ability to work independently and collaboratively with different teams.
Attention to detail and accuracy.
Experience in small business bookkeeping is preferred
