This role combines executive assistance with administrative support for events and travel coordination. The successful candidate will be detail-oriented, resourceful, and comfortable working independently in a remote environment.Key Responsibilities:
Manage daily administrative tasks, ensuring accuracy and attention to detail in every process.
Coordinate and maintain calendars, scheduling meetings, and proactively flagging any conflicts or workflow challenges.
Assist in the preparation and organisation of meetings, including agendas, materials, and follow-ups.
Handle email correspondence, data entry, and document management efficiently and professionally.
Support membership coordination, events, and communications as needed.
Event support includes
Provide administrative support for the planning and delivery of industry events, roundtables, and conferences.
Maintain attendee lists, invitations, RSVPs, and event-related communications.
Attendee lists for all events are to be maintained accurately in Zoho Backstage software.
Coordinate with venues, vendors, and suppliers remotely to ensure seamless event delivery.
Manage event-related documentation, checklists, and communications.
Prepare transcripts and event summaries to support post-event reporting and followup.
Ensure that website is up to date with current list of events.
Travel Coordination
Arrange domestic and international travel itineraries, including flights, accommodation, ground transport, and visas.
Proactively manage changes, delays, and travel-related issues.
Maintain travel diaries.
Maintain digital filing systems and help streamline internal processes for better productivity.
Liaise with internal teams and external partners to ensure smooth communication and task flow.
RequirementsRequired Skills and Qualifications:
Proven experience as a Virtual Assistant, Executive Assistant, or Administrative Coordinator (at least 3 years in remote work)
Excellent organisational and time-management skills with strong attention to detail.
Tech-savvy and comfortable using productivity and collaboration tools (e.g., Google Workspace, Microsoft 365, Slack, Asana, or similar).
Strong written and verbal communication skills.
A proactive problem-solver: you anticipate issues before they arise and take initiative to resolve them.
Reliable, self-motivated, and comfortable working independently in a remote environment.
