We are seeking a Virtual Assistant (VA) to join our team to assist in various administrative and customer service tasks.
 
Job Summary
As a Virtual Assistant for our client, you will play a critical role in ensuring the smooth operation of our cleaning services. Your primary responsibilities will include scheduling, rostering cleaners, managing client communication, addressing complaints, and handling various administrative tasks. You will work remotely and collaborate closely with the company's management and field personnel.
 
Responsibilities:
1.      Booking and Scheduling:
Schedule cleaning services based on client requests and availability.
Coordinate with cleaners to ensure schedules are efficiently managed.
Send reminders to clients and cleaners about upcoming appointments.
2.      Client Communication:
Communicate with clients to confirm bookings and address any queries.
Provide excellent customer service and resolve client concerns professionally.
Maintain client databases and ensure accurate and up-to-date information.
3.      Cleaner Liaison:
Assign jobs to cleaning teams and provide them with necessary details.
Ensure cleaners have the required supplies and equipment for each job.
Address any issues or questions from cleaners during their assignments.
4.      Administrative Support:
Assist with general administrative tasks, such as data entry, document organization, and record-keeping.
Coordinate with the finance department for billing and invoicing.
Manage emails, calendars, and appointments for the company's management.
5.      Team Collaboration:
Work closely with the field personnel to ensure that schedules are effectively managed.
Communicate changes in schedules or client requests to the cleaning teams.
Collaborate with other administrative staff to maintain a well-organized operation.
Qualifications:
Excellent organizational and time management skills.
Strong communication and interpersonal abilities.
Problem-solving skills and the ability to handle complaints professionally.
Proficiency in using office software, including spreadsheets, word processing, and email.
Previous experience in a customer service or administrative role for AU client is a plus
Strong English communication skills
