Job Summary
We are looking for a Virtual Executive Assistant to provide administrative support to the Executive Management of the company while working remotely. This is a contract-based position starting at 10 hours a week with growth towards a full-time position of 40 hours a week.
As a Virtual Assistant, you will perform various administrative and HR tasks, including posting of job ads, screening candidates, answering emails, scheduling meetings and assist the Executive Management with other tasks. To perform this role with success, you need to be independent, self-starting and resourceful, aside from that you need a strong Internet connection, along with experience using cloud-based work- & communication tools like Skype, MS Teams, JIRA and Google Workspace.
Ultimately, you should be able to handle administrative projects and deliver high-quality work under minimum supervision.

Responsibilities
Administrative Support
Respond to emails and phone calls
Schedule meetings
Prepare customer spreadsheets and keep online records
Organize and manage calendar of the Executive Management
Perform market research
Create forms, overviews and presentations, as assigned
Address administrative queries
Other administrative tasks as assigned
Human Resources Support
Create and post job ads on job sites and social media
Respond to queries regarding job ads
Manage job postings on the company's LinkedIn account
Screen applicants and update applicant tracking system (ATS)
Manage recruiting mailbox, update applicants on the status of their application
Draft job offers and employment contracts
Manage pre-employment requirements of new hires
Lead Generation
Gather sales lead prospect information such as name, email address, contact number via LinkedIn, Glassdoor, or other online available sources.
The ideal candidate would have:
Proven experience as a Virtual Assistant, Recruiter, or HR assistant.
Familiarity with current technologies, like desktop sharing, cloud services, and VoIP
Experience with word-processing software and spreadsheets (e.g. MS Office, Google Sheets)
Knowledge of online calendars and scheduling (e.g. Google Calendar)
Excellent phone, email, and instant messaging communication skills
Excellent time management skills and solid organizational skills.
Independent, self-starting, and resourceful.
Comfortable in a fast-paced and fast-changing work environment.
Easy to adapt to a startup company culture with short communication lines.
Vocational Diploma or Bachelor Degree; additional qualifications as a Recruiter, HR Administrator or Executive Assistant are a plus.
