Virtual Administrative AssistantOther working titles: Virtual Assistant - Operations SupportWe are seeking a highly organized and detail-oriented Virtual Administrative Assistant to support our firm's operations. This role plays a vital part in ensuring a smooth client experience by managing account-related processes, handling documentation, and maintaining accurate records.The ideal candidate has strong administrative and account management experience, excellent communication skills, and a high level of accuracy when working with forms, client data, and internal systems.Qualifications / Job Requirements
Proven administrative or operations experience, preferably in account management, financial services, or client support
Excellent written and verbal English communication skills
Strong attention to detail and ability to manage multiple tasks accurately
Has experience with CRM systems, document management, and online communication tools
Professional, reliable, and able to maintain confidentiality with sensitive information
Strong problem-solving skills and ability to work independently
Must be available to work Monday to Friday, 8 AM - 5 PM CST
Please note that a personality and assessment test is required for this role
Job Responsibilities
Support the full lifecycle of client account management, including new account setup, account maintenance, and transfer processing
Coordinate and facilitate 401(k) rollovers and account transfers with accuracy and professionalism
Complete and process all required forms and documentation promptly and correctly
Maintain thorough and organized tracking of account activities and updates
Communicate clearly and professionally with clients and internal teams to ensure all requests are handled efficiently
Execute trading or transaction instructions as directed, ensuring compliance with firm policies
Record all interactions, updates, and notes accurately in the firm's CRM system
Provide general administrative and operational support to the team as needed
