Job Description:
Reporting
Design and generate reports from various Business Systems to assist the monitoring and measurement of team performance
Ensure the weekly Group Practice report is distributed
Ensure timesheet adherence is measured on a weekly basis
Ensure Revenue Outlook and Capacity reporting is maintained on a weekly basis
Maintain the Revenue Management Dashboard to ensure refreshed data is available at least three times a week and prior to any key reporting milestones or meetings
Produce the Traffic Light report weekly
Administer Xeppo to build queries and extract reports
Project retro trend reporting
Provision of insight and recommendations on areas to optimise, where needed
Any other reporting as and when required
Client Management
Assist clients with general enquiries, where required
Client welcoming and hospitality support
Client onboarding coordination
Client offboarding coordination
Project retro surveys and trend reporting
Assist with the Delivery Management of client work, where required
Process Management
Generate and maintain pre-sales, client onboarding processes and all other key practice processes
Ensure team adherence to all work flow processes
Ensure adherence to guidelines for Teams, including Team, Channel, document and folder structure standards
Event Planning & Management (Client & internal)
Planning preparation
Owning and maintaining the schedule
Set-up/ attendance
Weekly stand-up
Coordinate marketing campaigns
General Team Coordination and Administration
Lead and maintain the weekly and monthly work planning efforts for Brand & Acquisition
Coordinate the organisation of selected key management and team meetings, including preparation, facilitation (Where required) and action items distribution
Manage the new team member onboarding process
Manage team member off-boarding process
Ensure new clients are setup correctly
Coordinate monthly billings process
Maintain data quality as part of the Xeppo data governance framework
Occasional support on diary management for selected Directors
General
Assist with scheduling of key meetings, workshops and / or internal initiatives
Provide reception relief as/when required
Manage the governance of the distribution of monthly invoices, including auditing that all invoices have been raised
Assist the administration team to tidy up the common areas as required, including but not limited to loading and unloading the dishwasher, wiping tables and benches and general tidying up;
Provide support to Directors and team members in relation to business development activities
Travel arrangements for the team as required
Coordinate the team networking and social events as directed by the department Director
Assist with the project management of discrete tasks as required
This is an administrative support role, where the incumbent will be required to undertake a variety of administrative tasks which may not be listed in this position description
Liaising with BlueRock Services to help facilitate any debtor actions that are required by the relevant BlueRock Digital team member, where needed
