Job Description

The role performs the overall planning and management of the Technology unit budget and IT assets capacity requirements including infrastructure (e.g. Cloud and On-prem data centers), end-user devices, and software. The role will work with the IT finance team, service users/owners, and project teams to plan, create, monitor, and maintain the Technology unit budget. The consultant will work with service users/owners to understand and chargeback to various cost center or project codes their software, infrastructure and services charges based on utilization.
Budget and Tracking
Assist with the Technology budget by gathering key inputs from service users/owners and analyzing previous period spending across operational and capital expenditures
Complete monthly analysis of technology utilization based on actuals compared to budget. Summarize information for service owners and create projections that are helpful for managing capacity and budgets including identifying outliers.
Complete monthly analysis for accounting that includes variance report with details.
Create materials and present periodic updates on technology spending for executive management.
Regularly meet with service users/owners to create partnerships, gather informational updates, and provide summarized information.
Maintain and improve philosophy of expense methods including allocations, chargeback, and charge to keep within the company budget targets
Automate as much as possible for repeatable information.
Software and Services Chargeback
Recovery analysis to ensure the chargeback pricing based on usage is comparable to actuals
Create datasets of software utilization leveraging various tools including vendor portals
Maintain and enhance chargeback philosophy and standards
Automate data delivery for monthly chargebacks
IT Asset Management
Perform daily and long-term operational and strategic management of hardware and software
Plan, monitor, and record hardware assets and/or software license to make sure they complied with vendor contracts in different software tools
Apply a continuous improvement approach in enhancing the strategies employed in technology spending, as well as in tracking company assets within the Configuration Management Database (CMDB) throughout their lifecycle
Ensure effective management of the CMDB and that the content contained is accurate
Provide supervision to staff of procurement analysts
Manage inventory of CIs and assets, including dependencies and attributes), making sure that modifications, withdrawals, and additions of existing ones are correctly recorded by the teams in charge in the tools to ensure that the vendor contracts are complied with
Responsible for managing lifecycle of hardware and software models in the DML right from their introduction to their retirement
Manage activities concerning license compliance audits to be able to answer to requests from software editors effectively
Establish and maintain documentation of procedures, processes, and reports concerning asset and configuration management
Other Responsibilities
Complete financial analysis for software evaluation and comparison. Evaluations may include license analysis, the total cost of ownership, and return on investment.
Create and provide assistance for requisitions within the Technology unit
Collects and maintains accurate software licensing, infrastructure and asset information to address budgeting, software compliance and inventory, contracts, and cost. Forecasts IT asset investments and service costs and provides recommendations.
Support project business cases creation on infrastructure costing by providing cost estimates/calculation.
Manage IT hardware and software assets covering end-user devices, multiple license types, software suites, entitlements, upgrade and downgrade of licenses to ensure best-fit licensing
MINIMUM JOB REQUIREMENTS:
Must have proven experience in planning and managing information technology budget and assets. Three (3) or more years of experience in budget, accounting, or finance in a technology environment.
University degree in Business, Finance, IT (or related fields) are preferred
Ability to see big picture strategic view as well as process details.
Ability to work with various systems and data sources to gather and assimilate required information.
Very detailed oriented and reliable for accurate information.
Excellent English and Filipino communication (written and verbal) and presentation skills.
Strong analytical, problem-solving, leadership and influencing skills
