Job Summary: The Admin Supervisor will be primarily responsible for the supervision of work and activities of Admin Assistant and Front Desk Receptionist in all manners of the day-to-day operations of the Admin Team which includes Meeting Room Reservation, sourcing of new service provider specifically hotels and travel agencies, comply with PEZA requirements with regards to facilities, monitoring the issuance of mobile and laptop device and other admin related activities. Job Accountabilities: Assign work, provides direction to Admin Assistant, Travel Admin and Front Desk Receptionist and ensure that assigned task are completed. Ensures effective and appropriate admin team members coverage. In charge in sourcing new service provider of hotel rooms and travel agencies. In charge of the local and international travels In charge of the Visit Support process Ensure compliance with PEZA requirements on importation and farm-in/out of assets In charge of processing necessary requirements (importation, occupancy permits, etc.) In charge for the issuance of laptops and mobile phones to qualified employees and maintaining a list of accountabilities. Ensuring that all fixed asset movements are properly approved and documented Ensure that the Anti-Bribery and Anti-Corruption policies of the company are observed Ensure that record of all admin documents is being maintained. Monitors the performance of team members. Provide feedback on their performance and conducts performance evaluation. Makes recommendations, and assist with developing admin policies and procedures. Maintains Admin Team performance data, documentation, and other pertinent information Assumes operation of the Admin Team in absence of the Assets and Facilities Manager. Resolve administrative problems and inquiries Ensure quality service from our pantry concessionaire.
