Software Asset Management Associate
Software Asset Management Associate will focus on strategic vendors to maximize value creation and minimize enterprise risk.
- To orchestrate the relationship with our SAM providers to ensure that what is promised is delivered, on time, on budget; and track, monitor and mitigate vendor risks.
- To be responsible for the daily and long-term strategic management of software licenses and technology-related within the organization. This includes to minimize risks and maximize the value of software assets usage through proper governance framework in order to sustain JTG values and reduce cost.
What will you do?
Manage enterprise wide compliance with all software license agreements and copyright law by monitoring and enforcing proper software usage policies and guidelines to ensure that there is no non-conformance. Manage inventory, risk and compliance. Ensure enterprise wide compliance with all global software license agreements and copyright law by monitoring and enforcing proper software usage policies and guidelines to ensure that there is no non-compliance.
Software Assets Management Process definition, implementation and maintenance. Progressively build up a Software Assets Management (SAM) culture within JTI. More specifically, contribute to the definition and development of standards, processes, tools and procedures to be implemented in order to meet JTI's software compliance, legal and vendor risk management objectives.
Operationally manage the SW asset inventory and ensure it is aligned and distributed across the organization. Work with IT functions and sourcing to ensure that adequate SW asset reporting is in place to support their needs. Manage and monitor operational activities with third party (i.e. SAM managed service providers). Manage and maintain SAM tool operations and service providers.
Software Assets Management - Audit and Dispute. Perform internal software audits (ELP) to identify variances between deployed and licensed software; ensure deployed software aligns with the quantity and licensing models purchased; work as project manager to ensure the risk is mitigate accordantly. In case, of software audit requested by software editors, act as single point of contact with the vendor counterpart and be responsible to project manage the audit.
Software Assets Management - Cost Optimization. Conduct business cases to assess the best software licensing model - perpetual, rental, subscription, cloud based- to compare the best value for money with the aim of driving cost optimization. Strong partnership is expected with IT strategic sourcing during RfPs, as well as with the SW Category contract manager during major contract renegotiations. Evaluate and recommend options to reduce licensing costs. Conduct license optimization activities to reduce license demand and drive cost reduction/optimization.
Stakeholders management. Work closely with service owners to ensure proper visibility of our current installed licenses positions and anticipate future requirements. Drive cost optimization by investigating appropriate licensing models. Act as middle-(wo)man between internal stakeholders and external software publishers. Act as licensing specialist in case of questions/queries from the internal stakeholders in regards of our main software contract. Support/advise IT functions regarding ad hoc contractual questions.
Supplier service and contract management. To be accountable for high value/high importance global IT contracts to ensure that they preserve JTI's interest while being in conformance with laws and regulations. The incumbent is responsible to ensure that contracts with third parties are delivering the expected value for money, service quality, and flexibility requirements, as well as protecting JTI's interests and ensuring compliance with internal policies and procedures as well as regulations. Work in close cooperation with IT service owners to formalize requirements and is driving contract negotiations. Act as single point of contact for scalation process. Monitor Supplier Service Contracts and Manage Supplier Performance review (QBR) ensuring that the set of services from a supplier meets an organization's goals in an effective and efficient manner. Tracking and monitoring contract data (terms and desirables). Proactively improve contract terms and desirables and identify opportunities to improve future contracts
Who are we looking for?
Bachelor's degree in Information Technology, Computer Science or related fields
Minimum 1 year of experience on Software Asset Management (SAM)
CSAM or CITAM qualification or similar (Nice-to-have)
Technical Skills:
Excellent Microsoft O365 knowledge. Proficiency on Excel.
Experience on Analytical tools (PowerBI, Analytics, Qlik)
Excellent Knowledge of IT software/SAAS/PAAS category and market key players. Strong experience with major software publisher's licensing schemes (SAP, Oracle, MS, etc.).
Experience with SAM tools (Aspera, Snow, Flexera, ServiceNow) and data collection from Asset discoveries (SCCM, ServiceNow, DDM, Raynet) * Functional Skills:
• Understanding principles of Procurement processes, Supplier Relationship Management and vendor management.
Good legal skills to be able to understand Software Contracts and the terms and conditions that impact the license entitlements.
Strong interpersonal and analytical skills
Ability to communicate and interact with different layers of organization
Negotiation skills
Project management skills
