Position Summary:
This position will provide administrative support to a high profile executive withing the Royal Caribbean Group. It is an exciting position that requires a constant pursuit of excellence. This position is expected to support not only daily administrative tasks such as the preparation of financial, and executive reports, notices, minutes, resolutions, act as a liaison between our executives and other internal and/or external executives, as well as with vendors, companies, general public, company departments, and employees. But is also a position that requires a high level of coordination of many philanthropic and community work initiatives, coordination of public appearances, social media, PR events.
This position also requires a high degree of discretion, as it organizes and keeps all corporate confidential documents and records and acts as a custodian of the materials/information. The employee is expected to be proactive, extremely organized, have high attention to details and aims for continuous improvement. It supports other special projects and company initiatives.
Essential Duties and Responsibilities:
Provides advanced Executive administrative support, understanding the executive business needs and coordinating all aspects of his/her agenda including the necessary arrangements for meetings, conferences, travel, events, etc. addressing, negotiating, and making decisions about general issues, expenses and internal financial/budget inquires with other executives and departments as well as with vendors.
Prepares general administrative, financial and executive reports, notice, minutes & resolutions, etc. for executives, executive committee and/or board committee meetings, collecting, compiling and performing some analysis to consolidate budget numbers, expenses, invoices, and other company general information and/or indicators, evaluating alternatives to better formalize charts, tables, presentations, as well as to compose text documents, messages, communications, etc.
Acts as a liaison between our executives and other internal or external executives, as well as with vendors, institutions, companies, media, general public, company departments, and employees, identifying and evaluating business needs and priorities, discussing agenda, handling specific sensitive and confidential information and requests, discussing and/or negotiating alternatives and coordinating the actions to accommodate each request.
Researches and analyzes information, as well as oversees and coordinates communication and information for report generation supporting other executives and administrative staff in handling complex issues or special projects.
Oversees supply budget and cost containment of administration group, identifying office supply needs and other demand for general services, contacting vendors, coordinating, and expediting orders as well as negotiating costs and the delivery of material/services as needed.
Coordinate and supports other special projects and company initiatives, researching, analyzing, and providing administrative and/or financial data to other executives/staff, overseeing appropriate communication and providing data for report generation.
Organizes and keeps all corporate confidential documents and records and acts as a custodian of those material/information.
Perform diversified activities, such as prioritizing conflicting needs, handling matters expeditiously, proactively, and follow-through on projects to successful completion.
Provide management and execution support for all projects, including:
Coordinate logistics and execution in preparation for new ship launches with shipyard, PR, leadership, and events teams, just to name a few.
Manage Inaugural and Naming Inaugural sailings with VIP guests, press and trade outlets.
Manage heavy domestic and international events, including air travel, ground transportation, hotel accommodations, meeting location, IT needs and materials/presentations.
Collaborate with all departments responsible for customer satisfaction for a worldwide fleet carrying over 1-million passengers each year.
Collaborate with leadership team, internal departments, and brands for execution of company and industry initiatives.
Collaborate with PR team as well as monitor and post on social media sites.
Review and handle all guest correspondence, routing to proper department for resolution, in a timely manner.
Provide support to the office of the Chairman and the C-Suite Executive Offices, as needed.
Collaborate with external organizations for Board obligations, community activities and visibility.

Qualifications, Knowledge & Skills:
H.S. Grad or equivalent required. Bachelor's degree preferred; experience may be combined with some college education.
Minimum of seven to ten years of experience performing advanced and high level of administrative and secretarial support to senior executive level positions in medium to large corporations.
Budget and cost oversight as well as project management experience.
Exceptional interpersonal skills to interact with internal and external executives, peers, vendors, media, employees, etc.
Must be able to maintain strict confidentiality and discretion in dealing with issues of business & personal nature.
Ability to work effectively under pressure & manage multiple tasks and deadlines.
Evaluation and analysis capabilities.
Knowledge of budget administration, cost containment and basic financial principles
Domain and knowledge of organization, policies & practices required.
Information and data research skills for report and presentation preparation.
Advanced level of proficiency in MS Word, Excel, PowerPoint, and Lotus Notes.
Exceptional grammar, organizational and communication skills.
Advanced skills in providing administrative and secretarial support to executives.
Expert level about verbal and written communication skills.
Ability to work under general supervision to complete tasks and responsibilities.
