*Job Description: Executive / Admin Assistant*
*Position Overview:*
We are seeking a highly organized, detail-oriented and proactive individual to join our team as an Executive/Admin Assistant. The Executive/Admin Assistant will provide high-level administrative support to our executives to ensure smooth and efficient operation of the office. This role will involve managing schedules, coordinating meetings, handling correspondence, booking accounts, organizing dockets and performing various administrative tasks with confidentiality and professionalism.
*Responsibilities:*
1. Manage and prioritize the office operations and procedures such as but not limited to executive's / company's calendar, including scheduled meetings/events, appointments, and travel/site ocular arrangements.
2. Prepare and coordinate materials for meetings, including agendas, presentations, and reports.
3. Handle incoming and outgoing correspondence, including emails, letters, and phone calls, on behalf of the company / executive.
4. Conduct research and compile data as needed for various projects and initiatives.
5. Assist in the preparation of financial reports, budgets, and expense tracking.
6. Serve as a point of contact between the executives and internal/external stakeholders/developers/partners.
7. Anticipate needs and proactively address issues to ensure efficient operation of the company.
8. Coordinate special projects and events as assigned by the executive/s.
9. Managing, organizing and processing documentations for booking of closed accounts with the Developers.
10. Docketing the accounts thru e-file and hardcopy.
11. Maintain office supplies inventory and place orders as necessary.
12. Greet visitors and direct them to the appropriate person
13. Maintain confidentiality of sensitive information and handle it with discretion.
14. Perform general administrative tasks, such as filing, photocopying, and data entry, as needed.
*Skills and Qualifications:*
1. Proven experience as an administrative assistant or similar role, preferably supporting C-level executives.
2. Exceptional organizational and time management skills.
3. Strong verbal and written communication skills, with the ability to interact professionally with all levels of the organization.
4. Advanced proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other relevant software.
5. Ability to handle multiple tasks simultaneously and prioritize effectively.
6. Attention to detail and accuracy, particularly in handling sensitive information.
7. Ability to work independently with minimal supervision and exercise sound judgment.
8. Professional demeanor and strong interpersonal skills.
9. Flexibility and adaptability to changing priorities and deadlines.
10. Knowledge of office management systems and procedures.
11. Proficiency in English and Tagalog.

*Education and Experience:*
- Bachelor's degree preferred, or equivalent combination of education and experience.
