JOB SUMMARY
The successful candidate shall provide smart and professional administrative and technical support to the division. He / she will be in-charge of all administrative needs of the division from contact and calendar management to, document and records management, accounting-related activities, travel, events and inventory management.
He/ she must be a dependable and hard worker with good communications skills in both English and Filipino. He/ she must also be a responsible and trustworthy team player. Writing skills are good as he/she will be asked to keep track of some discussions take dictations as needed. It is also important that the successful candidate be tech savvy and familiar with using technology in the workplace.
Duties and Responsibilities
Schedule Management
· Acting as the point of contact between other department.
· Maintains Department or Division Head's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel; including sending reminders.
Office Management:
· Transmitting official documents for signing and for review between internal and external stakeholders
· Processing of PRs and SAP, division reimbursements, facilitating division-related concerns with other Support and Operating units or concerned parties.
Secures reports, company profiles, and other related documents for reference.
· Review and maintain the accuracy of the records, editing where necessary to ensure they are up to date.
Creates and manages a repository of media files
· Manage the upkeep and replenishment of the division's office supplies
· Perform department and internal document control functions and is responsible for the timely, accurate, and efficient management of documents; from controlling the reference number to sorting, filing, storing, and retrieval of documents (electronic and hard copies).
· Perform monitoring of deadlines and deliverables for the division.
Technical Responsibilities:
· Assists in the planning and execution of events.
· Assists in preparing PowerPoint decks and other documents as may be requested
