We are currently seeking a dedicated and efficient Secretary/Administrative Assistant to join our
team. As a Secretary, you will play a crucial role in providing administrative support to ensure
smooth operations within the office. Your primary responsibility will be to assist in managing
daily administrative tasks, maintaining records, coordinating meetings, and facilitating
communication within the organization.
Responsibilities:
Administrative Support:
● Perform general clerical duties, including photocopying, scanning, filing, and
organizing documents.
● Manage incoming and outgoing correspondence, including email, mail, and
phone calls.
● Schedule and coordinate appointments, meetings, and travel arrangements for
management and staff.
● Maintain office supplies and ensure their availability for day-to-day operations.
● Prepare and distribute internal memos, reports, and presentations as required.
● Assist in preparing and proofreading documents, letters, and reports.
● Maintain accurate and up-to-date records, databases, and filing systems.
Communication and Coordination:
● Greet and assist visitors, clients, and staff in a professional and courteous
manner.
● Answer and direct phone calls, take messages and handle inquiries.
● Act as a point of contact between internal departments and external
stakeholders.
● Coordinate and schedule meetings, conferences, and appointments, ensuring all
necessary arrangements are made.
● Assist in preparing meeting agendas, minutes, and follow-up documentation as
required.
● Collaborate with team members to ensure effective communication and smooth
workflow.
Office Management:
● Ensure the office is well-organized, clean, and presentable at all times.
● Manage office equipment and coordinate maintenance and repairs when
necessary.
● Support HR-related tasks, such as maintaining employee records, tracking
attendance, and assisting with onboarding processes.
● Assist in organizing company events, including meetings, conferences, and
social gatherings.
● Uphold confidentiality and handle sensitive information with discretion.
Minimum Requirements:
● Bachelor's degree in any field, additional education in office administration or related
fields is a plus.
● Proven experience as a secretary or administrative assistant, with a minimum of 1 year
of relevant work experience.
● Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other
office management software.
● Strong organizational and time management skills, with the ability to prioritize tasks
effectively.
● Excellent written and verbal communication skills in English.
● Attention to detail and accuracy in handling administrative tasks.
● Ability to maintain confidentiality and exercise discretion when handling sensitive
information.
● Strong interpersonal skills and the ability to work well in a team environment.
● Professional and friendly demeanor with excellent customer service skills.
