Context
Royal HaskoningDHV (RHDHV) is looking for an experienced Secretary and Personal Assistant to support our Manila Water team and assist the Advisory Group Director in managing the business.
Overall Purpose of Role
An integral part of the team providing PA/secretarial support to the Company Director and to the project teams to allow them to work efficiently.
General Responsibilities
Support through monitoring emails, telephone calls, coordinating diaries, arranging appointments and delivering accurate messages across the team
Ensure and assist the Director attend to all necessary actions
Draft documents such as official letters, proposal documents, covering letters, minutes of meetings, presentations, memos, etc.
Word process and review materials for typographical accuracy and proper format such as reports, correspondence, technical documents, presentations, etc.
Data entry into the various internal systems
Assist project managers in preparing routine document, reports, invoicing, etc.
Maintain planner and to-do lists for transparent, organised coordination of tasks
Provide desk research as necessary (i.e. research clients, markets, other topics)
Internal and external coordination to obtain and distribute information
Coordinate content/ input for and distribute advice group information
Conduct general office administration (photocopying, filing, archiving, etc.)
Carry out any duties which the line manager and team may reasonably request within the broad parameters of the role
Profile and Competencies
Experience in standard office practices and procedures
Skill in composing routine letters and preparing reports
Knowledgeable in the operation of a various office machines
Highly proficient in Microsoft Office suite
Process-oriented and can work with minimal supervision
Excellent in oral and written communication in English
Analytical, self-exploring in finding solutions to problems
Detail orientated and critical towards own work
Pro-active and open in communication
Trustworthy and adaptable
Required to maintain high standards of respect, integrity and confidentiality
Qualifications and Experience
Graduate of any four-year course, or certificate in secretarial science
Minimum 2 years' experience in secretarial work ideally at Director level
Knowledgeable of BIM (Building Information Modelling) is beneficial
Available in short notice
