Our Finance Group and you will help enable SGV/EY client account teams and management to run the business effectively. You'll help to improve engagement profitability, manage enterprise wide risk and support market development activities. You will support SGV/EY planning, reporting and forecasting and analysis, or help SGV/EY people manage day-to-day activities, such as managing engagements, process and auditing time and expense or invoice processing. You'll also work with other parts of our organization, sharing your financial experience and insights to achieve specific goals. Job Summary
The Executive Assistant will be assisting the administrative functions, which could be clerical or administrative in nature, of the Market Group (MG) assigned. Furthermore, it is crucial for this role to have good communication skills as there will be a need to communicate to the different groups within the firm. In addition, there may be instances that you will be needing to act as a reliever to the Group Secretary or render overtime.
Duties and Responsibilities
Administrative
Manages and coordinates the daily/weekly/monthly appointments and travels of the Partner
Prepares the logistic requirements for Partner's meetings (in-house, on-site, and teleconference)
Coordinates with HR and/or Travel Management for Partner's travel logistics
Communications
Answers/screens/places phone calls
Handles incoming and outgoing Partner's letters and documents
Drafts correspondences as required by Partner
Reviews, proofreads, and edits documents developed for Partner's signature
Records and office supplies
Maintains client-related files, as needed
Maintains and updates clientmailing database
Prepares Partner's weekly time report
Prepares Partner's expense liquidation report
Prepares time report of cluster members who are out of the office
Monitors and requests for office supplies needed by the cluster
Others
Performs errands for Partner (e.g., bank transactions, buying gifts for clients, ordering food for Partner/cluster during meetings or busy season)
Assist Partner with professional organizatons and socio-civic activities
Coordinates with Facilities to ensure that Partner's and cluster's work areas are clean and organized
Participates in preparation of cluster activities
Coordinates with HR and Asset Management for the needs of new hires
Anticipates and prepares birthday cards for Clients and orders appropriate gift (e.g. fruits, flowers, etc.)
Handles ordering of sympathy flowers.
Engagement-related
Determines from job arrangement letters mode of billing and initiates preparation of billing letters and billing instructions
Prepares billing statement for client engagement based on manager's instructions
Follows-up and collects engagement needs from clients
Monitors Partner's UBS and A/Rs
Updates the proposal database for Partner
Prepares time charges for forecast monitoring
REQUIREMENTS:
With at least a year or two years work experience gained from reputable companies
Graduate of a business course or any equivalent
Very good communication and interpersonal skills
Presentable and willing to face clients/partners
Proficient in Microsoft Word, Excel and Powerpoint
Team player, hardworking and responsible
Willing and eager to learn
