The Sales Secretary is primarily responsible in providing comprehensive secretarial and clerical support for the group of which she is in charge.
Duties & Responsibilities
1. Equips herself with knowledge on the existing clients and products handled by the group (Duplo machines and consumables, peripherals, Graphics equipment, Fuji Xerox and AV products).
2. Organizes, handles and maintains group's files & records
3. Compiles & submits the following reports on a timely basis
a. Daily Sales Calls Reports
b. Leads Monitoring/Updating Reports of SC's/Sales Specialists
c. Weekly highlights of the group
d. Weekly itineraries of SCs/Sales Specialists and Heads
e. Weekly & monthly closable accounts of the group being handled.
f. Daily & Monthly Sales Reports
g. Monthly Performance Appraisal
4. Prepares the following documents, completely and accurately
a. Actual Consumption Report
b. List of new and existing accounts
c. Purchase Requisition Report
d. Actual number of unit installations
e. Proposals and price quotations
f. Request for payment (RFP) of phone bills (Landline & Cellphone)
5. Updates and maintains databases of Group accounts and/or files
6. Updates client's information
7. Implements and maintains office systems
8. Minutes taking in Sales/Management meetings
9. Works closely with the SCs/Sales Specialists to ensure that installations and other concerns take place on the set time/standard
10. Receives call for inquiries (forwarded by the Corporate Marketing Group) on equipments and/or consumables when necessary
Qualifications
1. Graduate of any 4-year course
2. Computer literate (Word, Excel and Power Point)
4. Can work under pressure and with minimum or less supervision
5. Willing to render overtime work
6. Organized, team player & creative
