The Role: Xylem seeks to hire a Resource Coordinator who will report to the Regional Director. The Resource Coordinator will be accountable for assigning tools/equipment and field delivery personnel to projects within their region, and responsible for logistical support for international shipments. Shipments include proprietary tools that are often round trip which requires in depth understanding of shipping regulations and best practices. The successful process requires collaboration with the Project Managers and the local Xylem Supply Chain teams to ensure on-time delivery of the requested tools/equipment, both domestically and internationally. This position will also be responsible for managing the Fixed Asset Tracking Software (Asset Panda) to ensure accurate and real time data as well as Ganttic to ensure there is no duplication of personnel assignments.
Essential Duties/Principal Responsibilities:
Facilitate, coordinate and lead the project and non-project shipping needs including processing tool requests, quote requests, shipping requests (Microsoft AX and non-AX) and other logistic activities as and when required.
Process fixed asset requests for reservation, manage scheduling, anticipate challenges, resolve issues and escalate conflicts for quick resolution to ensure On-Time delivery of all shipments
Responsible for the scheduling of tools/equipment and personnel resources throughout the region(s) while applying a thorough understanding of the capabilities of the tools/equipment/people to aide in the successful execution of condition assessment projects.
Works with Project Managers understand project needs, schedules and risks and to prioritize the availability of resources versus client demand to facilitate an efficient schedule that properly utilizes the tools/equipment available.
Works to resolve scheduling conflicts with project teams, managers and may escalate to senior management for support as required.
Prepare international shipping documentation and make sure shipping paperwork is accurate, matches physical shipment and shipment is packaged appropriately
Foster communication between related roles and departments, and be the liaison between Operations, Material Handling and Logistics departments (ex: resource schedulers, those responsible for version control and Bills of Material, Equipment Repair and Maintenance Technicians, Purchasing, Operations, Product Engineering, Finance, and Production Departments)
Work with regional offices, custom brokers as well as our 3PL Partners and Freight Forwarders to quote, book and monitor shipments until delivery.
Identifying and shipping dangerous goods with appropriate labels and DG certificate where applicable and according to latest IATA regulations.
Trade compliance activities and adherence
Clearly communicate shipment status, ship dates, ETA, and location upon request (utilizing the asset scheduling tools Xylem provides)
Support regional inventory, material handling, and warehouse needs as required
Continually review freight costs to keep costs down where possible.
Required to perform shipment readiness or "Tertiary" checks per shipment as required
Analyzes project forecasts and make recommendations to the Field Delivery Asset Manager to optimize appropriate tool/equipment inventory levels.
Be a super-user of the Fixed Asset Tracking Software (Asset Panda) and Ganttic; able to contribute to system level improvements and provide training for users of the selected software.
Continually look for and bring forward operational improvements.
Knowledge/Skills/Requirements:
Diploma / Degree in Supply chain, Logistics, Operations, or business-related field, or having equivalent working experience is required
Minimum five years of Logistics & Scheduling experience required in a project-based environment
APICS or equivalent certification an asset
Keen attention to detail with aptitude for understanding unspoken project requirements and aligning resources appropriately (i.e. knowing which tools require extra maintenance, which people work best together).
Knowledge of International Logistical Principles and practices
Demonstrate effective shipment planning and scheduling skills
Dangerous goods certification
Experience working in a Material Handling environment
Knowledge of trade compliance practice an asset
Proven ability to understand business drivers and risks; uses knowledge when making decisions.
