Job Summary
We are looking for a Virtual Assistant to provide recruiting, administrative, and basic accounting support to the Executive Management of the company while working remotely. This is a contract-based position starting at 50% (20 hrs a week) with growth towards a full-time position of 40 hours a week.
As a Virtual Assistant, you will perform various administrative and HR tasks, including posting job ads, screening candidates, answering emails, scheduling meetings and assisting the Executive Management with other tasks. To perform this role with success, you need to be independent, self-starting and resourceful, aside from that you need a strong Internet connection, along with experience using cloud-based work- & communication tools like Jibble, Zoho Recruit, Google Workspace, G-Suite, MS Teams, and Zoom.
Ultimately, you should be able to handle administrative projects and deliver high-quality work under minimum supervision.
Responsibilities
Recruitment
screening of candidates using Zoho Recruit
Validating and ensuring candidates submit all requirements for their application
Scheduling of interviBaews with Management and/or Business Partners
Posting of job ads using Zoho Recruit, LinkedIn, and other job boards
Creating screening questionnaires and/or skills assessments in Zoho Recruit
Scheduling of HR onboarding sessions for new hires with the Recruiting Manager
Ensuring that pre-employment requirements are provided on time and are complete
Respond to emails from candidates
Admin
Ensure timely completion and finalization of timesheets for payroll cut off
Consolidation of timesheets to be sent to the payroll provider
Registration of employees with Gov't offices (SSS, PhilHealth, Pagibig, BIR)
Other admin tasks as assigned
Accounting
Updating of sales and expense ledgers on a weekly/monthly basis.
Reconciliation of bank statements to the general ledger
Preparing and sending sales invoices to our Business Partners
Preparing of BIR forms of percentage tax, withholding tax, income tax
Responding to queries from Business Partners as needed
Requirements
The ideal candidate would have:
A relevant degree or relevant work experience
Understanding of the recruiting & candidate screening process
Preferably 1-3 years of basic accounting experience
Experience with government related employee registrations & requirements
Capable of working from home
The ability to set priorities and meet deadlines
An own device and stable internet connectivity
Organized with eye for detail
An independent, self-starting, and resourceful attitude
Problem solving skills
