JOB SUMMARY
We are looking for a receptionist to join our team and help us with various clerical tasks. You will be responsible for greeting and welcoming guests, answering and transferring phone calls, sorting and delivering mail, providing customer information, and offering administrative support to other staff members.
To be successful in this role, you should have excellent communication and interpersonal skills, a friendly and professional demeanor, and a high level of accuracy and attention to detail. You should also be proficient in Microsoft Office Suite and other office software and systems. Previous experience as a receptionist or in a similar role is preferred but not required.
JOB RESPONSIBILITIES
Greeting and welcoming guests when they arrive at the office and directing them to the appropriate person or office
Answering and transferring phone calls to employees, customers, or other parties, taking messages, or providing necessary information.
Receiving and sorting daily mail and deliveries and distributing them to the intended recipients.
Providing administrative support to other staff members, such as preparing reports and memos, organizing meetings and events, managing office equipment and supplies, and handling invoices.
Ensuring the reception area is tidy and presentable with all necessary stationery and materials, such as pens, forms, and brochures.
Maintaining office security by following safety procedures and controlling access via the reception desk, such as monitoring the logbook and issuing visitor badges.
Updating calendars, scheduling meetings for employees or clients, and arranging travel and accommodations as needed.
Keeping updated records of office expenses and costs and performing clerical receptionist duties such as filing, photocopying, transcribing, and faxing.
Bachelor's degree in communications or business
With 1 year's work experience as a receptionist or a similar role
Proficiency in Microsoft Office Suite and other office software and systems
Experience using standard office equipment like phone systems and copiers.
Excellent communication and interpersonal skills and the ability to interact with customers and co-workers professionally and courteously
High attention to detail, accuracy, and ability to follow instructions and procedures.
Good time management, organizational skills, and ability to prioritize and multitask effectively.
