JOB PURPOSE
 
Good Cup Coffee's Staff is responsible for managing the procurement of goods and services for the organization. They ensure that materials and products are sourced at competitive prices while maintaining quality standards. This role involves coordinating with suppliers, negotiating contracts, and maintaining records of purchases and deliveries.
 
PURCHASING STAFF (MALE)
 
PRIMARY RESPONSIBILITIES 
Procurement and Sourcing:
Research and identify potential suppliers for goods and services.
Obtain quotes and evaluate price comparisons to ensure competitive pricing.
Negotiate contracts, terms, and pricing with suppliers and vendors.
Create and issue purchase orders based on approved requests.
Vendor Management:
Build and maintain relationships with suppliers to ensure continuous supply and favorable terms.
Monitor supplier performance, ensuring timely delivery and adherence to quality standards.
Resolve issues related to delays, shortages, or quality discrepancies.
Inventory and Stock Management:
Monitor inventory levels and coordinate with warehouse or inventory staff to ensure timely replenishment.
Maintain appropriate stock levels based on demand forecasts and consumption patterns.
Track and report inventory usage, stock status, and procurement needs.
Documentation and Record Keeping:
Maintain accurate records of purchases, purchase orders, supplier contracts, and invoices.
Ensure that all procurement documents comply with company policies and legal requirements.
Assist in preparing reports related to purchasing activities, supplier performance, and cost analysis.
Cost Control and Budgeting:
Work within allocated budgets to ensure cost-effective purchasing.
Identify opportunities for cost savings through strategic sourcing, volume purchasing, or contract negotiations.
Analyze spending patterns and report on cost-saving opportunities.
Coordination with Internal Departments:
Liaise with other departments such as production, logistics, finance, and inventory to understand their procurement needs.
Ensure that purchased goods meet the specifications and requirements of the requesting department.
Assist in resolving issues related to order fulfillment, product quality, or delivery schedules.
Compliance and Risk Management:
Ensure that procurement processes comply with company policies, legal regulations, and industry standards.
Manage supplier risks by ensuring timely delivery and addressing any supplier-related issues that may affect production or operations.
