Responsibilities
Processing of supplier invoices for received stock,
Verifies receipt of items by comparing bill items to invoice receive.
Assure the accurate and on time turnover of delivery receipts, sales invoice and other supporting documents needed to Finance team for processing of supplier's payables on time.
Keeps information accessible by sorting and filing documents.
Maintains suppliers invoices up to date on the shared folder.
Monitor billing status until all concerns/issues resolve.
Processes payments, receipts, and other necessary accounting activities, which may include accounts receivable and payable.
Liase with stakeholder to follow company processes.
Responsible to maintain updated trackers, reports, processes, and guidelines for all admin tasks.
Assist on courier reconciliation process.
Clearing inbox and chasing up supplier for any pending and late sending.
Reporting/Other
Update and monitor the tracker for any bills issue in a timely manner.
Prepare and provide sell out reports for product managers.
Prepare and provide data for supplier/vendor or internal reports.
Create rebates when necessary.
Create weekly reports for delayed rebate payments with respective vendor/supplier and provide to product managers.
OH&S
Participate in relevant OH&S education and training
Report injuries, incidents, hazards or illness immediately
Do not perform tasks unless you have been trained to do them.
Do not use equipment unless you have been trained appropriately .
Report any injuries or illness resulting from work as soon as possible but no later than the next working day
Report any condition that will affect your work to the Manager/ Supervisor (e.g. taking medication, not feeling well,) as soon as possible

Other Duties
Duties may be varied from time to time consistent with training and skills to meet business needs.
Skills, Knowledge and Experience
Proven experience in a purchasing officer position within a distribution/retail environment
Knowledge and experience with Budgeting and Costing
Basic understanding of computer components
Good communication and organizational abilities (oral & written)
Knowledge and experience with Word & Excel
Ability to work as part of a team.
Graduate of business management related course
Fresh graduates are welcome.
