What will I be doing?
One of the great things about this role is that you really will be doing a variety of administrative activities on areas such as supplier invoice and expense claim processing. The role requires a strong focus on ensuring data is of optimised quality to enable the efficient, timely and accurate processing of invoices through our systems.
Specifically, key responsibilities include:
Process purchase invoices and employee expenses globally within the finance system
Match all Purchase Invoices against their respective PO where necessary
Follow up any subsequent queries or anomalies in this matching process with the wider business
Check accuracy of expense claims, ensuring they are in line with the Global Expenses Policy
Resolve queries from suppliers and employees independently and confidently by phone and email
Respond to internal and external queries in a timely manner and escalating issues as they arise
Review old balances on the ledger, chasing copy invoice where necessary and allocating them on the finance system
Assist in creating, updating and maintaining the vendor master data, and perform vendor reconciliation as deemed necessary
Monitor supplier accounts to ensure payments are up to date
Assist in month-end closing activities
What skills and experience can you bring to the role?
The successful candidate will have previous experience of working in an Administrative role within a Finance team and ideally in a BPO set-up. You will have excellent written and verbal communication skills in English. We expect you to have good IT skills (preferably using Microsoft Office 365 programmes) and have exceptional organisational skills and the ability to meet deadlines as well as keeping team colleagues informed of progress on key tasks. Given that you will be working with the personal and sensitive date of employees across the globe it is essential that you demonstrate the ability to keep information confidential and ensure data protection is your top priority at all times. You will also need a strong attention to detail in order to ensure you work accurately.
