Job Qualifications
Graduate of any 4-year college degree, preferably with civil engineering units
Must have at least two-year property administration or similar work experience
Job Descriptions
Security and Safety within / around the building premises (including compliance to the Building Code and/or "Deed of Restrictions," Fire Code, Occupational Safety & Health Standards, in-House and government regulations, and disaster risk reduction program or emergency preparedness plans)
Repair and Maintenance services of areas/facilities covered by the Management Contract, particularly of the elevators, electrical generator sets and other mechanical / electrical equipment in the building
Housekeeping & landscaping (including janitorial tasks, pest control, waste management and others)
Accounting and finance services (including collection of association fees, common facility dues, use of amenities/facilities rental charges/fees, preparation of financial statements/reports, as well as safeguarding and properly maintaining all records / files reflecting transactions, like Official Receipts, cash collections, disbursement vouchers, bank deposit slips, etc.)
Office Administration functions & services (including official communications, Banking Relations, Public Relations, etc.)
The position is also responsible for dealings/ relations (and for problem solving together with of the "Developer") with unit owners/ tenants of the Condominium, as well as with officers/owners of other business establishments or organizations within the Building, ensuring that their needs and complaints are attended to and resolved expeditiously. This responsibility includes dealings with government agencies and external providers of basic facilities (like electricity, water, etc.), for coordinating with other Condominium Associations, for coordinating with the local barangay and police, and for representing the organization to the general public.
OPERATIONS FUNCTION
Repair and Maintenance
Conducts regular visual inspections of building structure, facility, elevator, equipment, and general premises
Coordinates/oversees repair and maintenance work with contractors/inspectors/technicians
Monitors/inspects work-in-progress, intervening to make suggestions / corrections or introducing changes / alternatives
Floor, wall, ceiling and door maintenance
Ongoing repairs and maintenance activities of equipment and facilities
Evaluates the quality of repairs and maintenance work of Contractors in compliance with approved technical specifications
Conducts regular meetings with Building Engineer to ensure the provisions of the "Deed of Restrictions" of the Condominium are being complied with; explains such matters to Condo members
Building Utilities
Coordinates installation/repair/improvement with external providers of electricity, water, telephone, internet/WIFI, TV, cable, and other utility services
Housekeeping & Landscaping
Security & Safety
Accounting & Finance
Monitors collection efficiency and takes measures against delinquent Association members in coordination with Legal Dept.
Reporting financial conditions
Coordinates with the Accounting Dept. and meets regularly with the Project Accountant to ensure that all transactions are duly recorded and that financial statements reflect the condition of the Association
Administrative
House rules and meetings
Organizes general membership meeting and regular Board meetings, dutifully informing concerned parties in writing
Meets regularly with directors/officers of an existing Condo Corporation, ensuring their instructions are complied with, submitting and discussing the required financial and other reports
Oversight of Property Administration Office
Oversees the day-to-day activities of the Property Administration Office

Receives specific problems / complaints raised by Condo Corp members

Value-added services
Coordinates with printer of the Condominium's newsletter (or handles/edits in-house publication); checks articles to ensure proper and accurate reporting of events and concerns of the Board / Committees and residents of the Condominium; occasionally does write-ups, attends to pictorials, etc.
Acts as Event Manager of monthly "Value Added Activities" or Projects approved by the Board or for annual events like anniversary celebrations, Christmas Program, etc.
