Job Description:
A Project Secretary provides administrative support to project team. The job involves tasks such as performing clerical duties, ordering supplies, creating and processing invoices, and organizing meetings and travel for different members of the team. He/she should have great organization skills and have the ability to work well as part of a team.
Key responsibilities:
Provide full secretarial and admin support to the project team and department to ensure the smooth running of the department operations.
Maintain records of the Project Team and assist in their movements.
Take minutes of meeting and maintain records for the operations and project team.
Develop and maintain document control process for efficient management.
Maintain a proper and user-friendly filing and document control system for recording and tracking of all documents for the project team and department.
Support the officers and project team in daily admin roles and assist to keep stock of stationary supplies for the department.
Perform data-entry, recording, printing and filing duties.
Undertake any ad-hoc admin projects/duties as required.
Coordinate travel arrangements inclusive of are-ticket, hotel accommodation, visa arrangements, claims, etc.
Assist to check and verify staff claims and invoices for project team.
Prepare and raise purchases requisition for purchase of equipment for new staff
Skills and Qualifications:
Candidate must have a Bachelor's Degree in Secretarial Studies, Business Administration, or a similar field.
Must have excellent interpersonal skills and above average communication skills.
Candidate should have strong typing and computer skills.
A good decision-make who is able to prioritize tasks effectively.
Willing to be employed as Project based.
Willing to travel for field works.
