Duties & Responsibilities
ADMINISTRATIVE FUNCTION
Provides administrative assistance to Engineering Manager
Gathers/collates periodic reports submitted by Engineering Planners/Supervisors. Consolidate these into standard reports or formats required by the immediate superior (e.g. MANCOM Weekly Report, Monthly Operations Review, others).
Prepares Minutes of Meeting (e.g. Engineering Meeting, others).
Prepares presentation materials needed by immediate superior.
Coordinates meetings of immediate superior and other requests from Engineering Supervisors.
Assists in preparation and processing of reimbursement of superior/s.
Prepares, transmit and follow-up payments status for suppliers.
Coordinates payments to Suppliers.
Handles receiving and transmittals of incoming and outgoing communications to and from the Department (e.g. Inter-Office Memorandum, Payment Request, Official Receipt, and other).
Drafts and prepares memo and other correspondences as required by the department. (e.g. Charged Memo, OIC Memo, and others).
Handles SAP transactions (e.g. reservation of products, office supplies, factory supplies, others).
Prepares Ariba Purchase Requisition and monitors status to ensure availability when needed.
Handles the revolving fund (P10,000) entrusted by the Company
Ensures that revolving fund shall be used to pay for expenses related to office supplies, hardware materials, low cost spare parts and any immediate petty expenditure.
Ensures that record disbursements made under the fund on the Summary of Expenses/Liquidation (SEL) and all pertinent data required in the report will be supplied along with corroborating original invoices and official receipts to be submitted on a regular basis to his immediate superior for approval, and subsequent replenishment of the fund.
Prepares and transmits to SSC the replenishment of revolving fund.
Handles receiving and transmittal of incoming and outgoing communications to and from the department:
Safeguards confidential documents (e.g. Performance Management System records, Employee Contracts, Personnel Upgrading/Promotion Memo, others).
Handles files management, safe keep files, records and other documents aligned with the 5S and Records Retention System Requirements.
OTHERS
Performs other tasks:
Complies with and performs procedures and instructions prescribed under the company's/plants Quality, Food Safety, HACCP and Environmental Management standards and government regulations.
Ensures implementation of proper 5S, waste segregation and disposal procedures, conservation of resources (e.g. ENERCON Program), and pollution prevention programs.
Observes Good Manufacturing Practices, Standard Sanitation Operating Procedures, and workplace safety regulations and emergency preparedness programs (e.g. chemical spill response, ammonia leak response, fire safety.)
Performs clean-up and housekeeping activities to maintain cleanliness and orderliness. Complies with company rules and regulations and observes professional decorum at all times.
