DUTIES & RESPONSIBILITIES
Reporting to senior management and performing secretarial and administrative duties.
Acting as a first point of contact, dealing with correspondence and phone calls
Managing diaries and organising meetings and appointments, often controlling access to the manager/executive
Booking and arranging travel, transport, and accommodation
Organising events and conferences
Reminding the manager/executive of important tasks and deadlines
Typing, compiling and preparing reports, presentations and correspondence
Liaising with staff, suppliers and clients
Collating and filing expenses
Miscellaneous tasks to support the manager, which will vary according to the sector and to the manager's remit, eg completing some corporate governance reporting (to ensure that the business is being run properly and complying with legislation and regulations) or conducting research.
Requirements
Certification in secretarial work, office administration, or related training.
1-2 years of experience as a personal assistant would be advantageous.
Extensive experience in creating documents and spreadsheets.
Advanced typing, note-taking, recordkeeping, and organisational skills.
Ability to manage internal and external correspondence.
Working knowledge of printers, copiers, scanners, and fax machines.
Proficiency in appointment scheduling software such as G-Suite (Email and Calendar), as well as call forwarding.
Excellent written and verbal communication skills.
Exceptional interpersonal skills.
