Job Responsibilities:
Monitoring and managing advisor emails. Responding where required. Drafting emails for advisor.
Answering diverted phone calls for advisor and attending client's needs.
Ensuring files are up to standard before advisor meetings and liaising with the administration team where necessary
Assisting advisor with strategies for files
Completing post meeting notes and checking that it is up to standard. Finalizing the File Checklist and liaising with administration team when checklist is not completed.
Completing applications documents with the client once advisor has given the advice and the client is ready to proceed.
Following up with administration team, insurers and superannuation funds to ensure actioned items are completed as per process/advice in a timely manner.
Attending advisors meetings. Taking notes where necessary and following advisor instructions post meeting.
Reporting to advisor on areas that could improve to create further efficiency.
Contacting clients and booking meetings for advisor.
Assisting advisor on developing processes to further enhance the customer service experience as required.
Assisting advisor on getting referrals, feedback and reviews.
Various ad hoc requests.
Requirements
Minimum of 3 years experience as Admin/PA/EA
Customer service/Admin experience is an advantage
Excellent communication skills (Oral and written)
Resilient, flexible, and confident
