Payroll Specialist
Job Description:
Payroll Processing - Australian Team
Provide information from both the time in attendance system and other sources to the ADP Payforce platform each week to facilitate payroll processing.
Verify and reconcile pay preparation reports including to time in attendance systems and other reports used etc.
Ensure compliance with GRIA award regulations including wages, penalties and entitlements.
Payroll Processing - USA Team
Ensure weekly payroll processing is performed in a timely and accurate manner through Coastal Payroll which includes Time and Attendance.
Maintain active employee details which includes salary information etc.
You will be responsible for onboarding and offboarding employees through the system in consultation with the People and Culture Team.
Be across current reporting requirements and have the ability to create new reports when required.
Ensure compliance with current US employment law is met alongside the People and Culture Team.
Weekly data entry of payroll processing into our accounting system Xero.
Maintain compliance and accuracy of our 401K platform - Human Interest.
Complete and be responsible for end of year W2 checklists.
Be the lead contact for the Coastal system which includes contact with our Coastal Payroll representative based in the San Diego - California.
Payroll Administration
Maintain accurate and up-to-date payroll records for audit purposes.
Generate and analyse payroll reports to identify discrepancies and ensure compliance with company policies and legal requirements.
GRIA Award Compliance
Stay abreast of updates and changes to the General Retail Industry Award (GRIA) and implement necessary adjustments to payroll processes accordingly.
Interpret and apply GRIA regulations to ensure proper payment of wages, allowances and penalties.
Collaborate with People and Culture to address any GRIA issues that may arise.
Maintenance of the Time in Attendance System
Ensuring new employee pay rates are maintained and are set up correctly in the system.
Maintaining the enterprise to configure all public holidays across all Australian states are logged to ensure Public Holiday rates are generated.
Ensure any changes that arise with the award or LSKD working conditions/benefits are configured in the system. From time to time there will be project work which will involve working with an assigned Deputy contact.
Offboarding and maintenance of terminated employees within the system.
Maintaining access levels of users within the system.
Be across reporting requirements and the ability to create new reports when required.
Maintain the of entry monthly sales data for Retail stores ensuring accuracy of the labour percentages.
Creation, configuration, and maintenance of new and existing Locations within the system. E.g. new retail stores.
Tax and Superannuation Compliance
Ensure accurate calculation and submission of taxes and superannuation.
Stay informed about changes in tax/ superannuation regulations that will impact payroll.
Qualifications:
Bachelor's Degree in Accountancy or any related field.
Proven experience as a Payroll Specialist, preferably in a GRIA-regulated environment.
In-depth knowledge of the General Retail Industry Award (GRIA) and experience applying its regulations to payroll processes.
Proficiency in using ADP software for payroll processing and reporting.
Strong understanding of tax regulations and compliance.
High level of discretion and confidentiality when handling sensitive payroll information.
An extensive organiser with an eye for detail
Strong communicator and clearly conveys information and ideas in a focused, appropriate and effective manner
Ability to hit deadlines and work that extra mile to get the job done on time
