Position Summary
Reporting to the Corporate Services Manager, the Payroll Assistant is responsible for the accurate processing of all payroll functions.
The Payroll Assistant is responsible for the collation, entry, and filing of all correspondence in relation to payroll.
The Payroll Assistant will demonstrate high levels of accuracy in data input and the ability to build trust and confidence within the Corporate Services team, the Company's personnel, internal stakeholders, and the Company's suppliers. They will influence processes through recognition of improvements, bringing recommendations for identified improvements to the team for discussion and testing across the team's established outcomes.
Major Responsibility Area
To work as part of the Corporate Services Team in the delivery of financial outcomes for the Company.
Develop and maintain strong relationships and communication lines with the Company's personnel.
Conduct and complete onboarding of new employees, including familiarisation with the Company's time and attendance systems.
Maintain accurate data on all personnel in both time and attendance systems and payroll systems.
Communicate employee absences with Managers and Supervisors to eliminate unexplained absences
Verify leave availability on receipt of approved leave requests from the Manager or Supervisor.
Update time and attendance system as required for manual timesheets.
Verify and process weekly overtime and bonus payments as advised by Managers and Supervisors following approval of same by the Chief Operating Officer.
Maintain correct time entry for personnel under worker compensation arrangements.
Maintain and update payroll process manual when required to ensure visibility of accurate process steps to complete weekly payroll.
Implement all software updates across time and attendance and payroll systems to ensure Company compliance with legislative changes as required.
Maintain and update payroll systems to ensure compliance with applicable Award changes.
Complete and process payroll end-of-year functions.
Complete and process ERP entry of payroll tax and child support obligations across all companies.
Complete and process company SGC and Salary Sacrifice obligations through Micropay and Superchoice ensuring compliance with payment of obligations for the group. Participate and champion special projects, including new and improved payroll processes.
Understand best practices in our industry and identify opportunities for improvement.
Expected results:
Effective, timely, and accurate processing of weekly payroll.
Identification of wage theft incidents for Chief Operating Officers decision.
Legislative compliance of the group across payroll matters.
Ensure continuous improvement to assist in the effective, efficient, and timely completion of assigned tasks.
Successful design and timely submission of assigned projects.
Identification, recommendation, and implementation of approved process improvement initiatives.
Measures of success:
Improved and sustained performance of the Corporate Services team.
Payroll is completed accurately and on time weekly.
Legislative payments are processed and made on time.
Award conditions are identified and adhered to.
Established and effective relationships with Company personnel.
Visible leadership that will improve financial and safety performance and culture.
Qualifications, Skills and experience required for this position
Essential:
5+ years' experience in payroll and accounts payable.
Proven accuracy in data input.
Outstanding organizational abilities
Complete understanding of the whole of payroll functions.
Ability to understand and interpret Awards.
Strong ERP and Excel skills, and experience in Pronto, Micropay, and Genesis would be advantageous.
Effective interpersonal and written communication skills
Able to work in a fast-paced environment and multi-task effectively
Excellent organizational and prioritization skills
Desirable:
Tertiary qualifications in accounting
Knowledge of the construction industry
Experience in manufacturing industries
