Job Responsibilities:
Prepare Payroll Data by inputting the following for every payroll cycle (15th & 30th)
New Hires' TIN, SSS, PHIC, Department, Position, Salary Details etc.
Employee Changes due to promotion, apprenticeship, regularization, salary changes, department transfers etc.
Resigned Employees
Incentives & deductions
Loan set-up and closure
Timesheet Details generated from Replicon (our payroll system), including Paid time-off
Previous cycle adjustments
Ensure information in the Payroll Data are supported (ex. Contract), approved and complete.
Submit the Payroll Data to the Accounting Supervisor for review, effect any changes, if any, and upload the final version in the payroll provider portal
Prepare Payroll Register and reconcile it against the Payroll Register from the payroll provider
Compute final pay of resigned employees and submit for review.
Prepare and update Incentive Monitoring and Payroll Alphalist year to date.
Prepare and upload remittance schedule for SSS, Pag-ibig & PHIC Premium & Loans
For SSS Loan, ensure:
All employee loans reflected in the Loan Collection List (LCL) have corresponding payroll deduction
All payroll deduction not reflected in the LCL are refunded upon receipt of loan voucher showing zero outstanding amount and reported as "Loan for closure" in the payroll data.
Participate in the month-end closing activities by submitting the following:
Payroll Accrual from 22nd to 30th/ 31st of the month
PTO Accrual
Analysis on Payroll Expense monthly movements
Coordinate with HR all payroll concerns such as pending contracts/ documentation, employees not yet added in SSS, PHIC & Pag-ibig portal, loan vouchers etc.
Respond to employee's payroll inquires/ requests
Document payroll related policies and processes
Perform ad-hoc tasks as needed
Qualifications:
CPA Board Passer with at least 2 years of experience handling end-to-end payroll process
Experience in Replicon or other payroll system is an advantage
Familiar with BIR, SSS, Pag-ibig & PhilHealth requirement/ rulings
Organized, timely, can handle pressure and has initiative
High attention to details, punctual and eager to learn
Good communication skills
