Job role:
Operations Officer performs tasks to ensure the organization is adequately staffed and supplied. He/she works with colleagues in various departments to make sure that the systems in place are working properly, identify areas where improvements can be made and allocate both human and physical resources to different business streams depending on their requirements. His/her role is to facilitate and promote efficiency throughout the business and its daily activities.
Responsibilities:
CUSTOMER MANAGEMENT: facilitating cross-channel feedback from customers and employees to management team. In case of customer complain, deliver the proper investigation by securing Incident Report and provide solution to the problem. Then resolve the problem immediately & accurately in order to fully achieve the patient satisfaction.
SCHEDULE MANAGEMENT: patient schedules branch monitoring on daily basis with reviewing of customer service department work. Identifying and resolving any problems in the global scheduling process (occupancy) and branches scheduling work (recalls). Correcting errors and advising next step for scheduling targets.
PURCHASING AND STOCK MANAGEMENT: implementing inventory management in the network, providing adequate supplies to branches without overstocking, managing suppliers network, coordinating the purchasing process with the branches.
OPERATIONS POLICIES IMPLEMENTATION AND COMPLIANCE: Implementing operations policies and monitoring its compliance and performance. Observing, reviewing and analyzing processes to identify inefficiencies and areas where improvements could be made. Monitors the clinic personnel by doing field visit/Clinic Visit to ensure they perform their duties in a timely and effective manner. Contribution to the IT projects, needs definition and quality assurance. Ensuring that all branches deliver dental services conform to industry and company standards.
REPORTING and AUDIT: Daily compliance of branches reports. Overseeing budgeting and auditing of clinic reporting as needed. Delivering Operations KPIs reports to management team to provide insight into the overall efficiency of the organization.
Job Requirements:
Bachelor's degree in Nursing/ Business Administration or related course
At least 1 year supervisory experience in clinic operations or healthcare industry is an advantage.
Excellent communication both oral and written Good time management, prioritization and multitasking abilities
Excellent interpersonal skills to build strong relationships with colleagues
Effective communication, including speaking, writing and active listening
Able to give and receive feedback and constructive criticism from a variety of channels
Planning and problem-solving skills
