The coordinator will be required to handle paperwork and communication with staff and local external parties. When necessary, the coordinator would have to act as a local representative on the ground.
JOB DETAILS
General
» Work closely with the Operations Managers to provide support as needed
» Manage and roll-out government issuances, newsletters and other research projects, presentations as requested.
» Update the compliance checklist on a regular basis and ensure accuracy of every entry.
» Work as part of the team to provide processing support.
» Direct all inquiries to the proper channel, or Highlight important issues and escalate to the Operations Managers in a timely manner.
» Develop a positive, professional working relationship with staff and local external parties.
» Make sure that specific instructions are applied and followed through regularly and consistently.
» Handle confidential information and documents ensuring they remain secure.
» Ad hoc tasks as needed.
Office/ Internal Management
» Ensure that information is entered accurately in Xero, HR and Payroll system, Government Forms, and other required documents.
» Facilitate applicant screening, employee onboarding, weekly retention activity, offboarding employee, and provide assistance with staff's queries as required.
» Coordinate and prepare agendas for meetings and prepare schedules including record minute of meetings
» contact and prepare document requirements for permit and business registration, annual renewal with BIR and Makati City Hall and SEC as well as with banks and external parties.
» Prepare documents including correspondence, reports, drafts, memos, and emails and ensure timely announcements and issuances.
» Prepares invoices or similar documents and provide assistance in bookkeeping
Reporting
» Weekly Administrative and Operations update
» Bi- monthly payroll assistance which includes attendance sheet monitoring
» Contributions and payments, registration requirements connected with SSS, PHILHEALTH, PAGIBIG, BIR, SEC
» everyday attendance
» everyday collection
» Monthly billing and Invoicing
Requirements:
JOB QUALIFICATIONS AND SKILLS REQUIRED
» At least five years significant practice
» Resourceful and independent
» Attention to detail is a must.
» Strong organizational skills and understand how to set the priorities right.
» Able to anticipate problems and provide solutions.
» Able to think independently or to deal with unexpected occurrences.
» Excellent communication skills (both written and oral)
» Willing and excited to learn
