Job Summary:
The Office Secretary assist with the day-to-day operations of an office by doing tasks such as filing paperwork, answering phone calls, preparing documents for meetings, and managing the calendar of their supervisors. Able to organize, maintain, retrieve and ensure the proper use and disposition of records and office documents.
Qualifications
At least Senior High School diploma, Vocational or 2 - year course
Excellent organizational, time management and communication skills
Working knowledge of basic bookkeeping
Previous experience in a secretarial role, clerical work or related field
Strong interpersonal skills and adaptability
Ability to work on multiple projects and prioritize tasks effectively
Attention to detail and accuracy
Good customer service skills and ability to work well with others
Proficient in Microsoft Office suite (e.g., Microsoft Word, Excel)
Job Duties and Responsibilities limited to the following:
Greets and directs clients and visitors.
Makes appointments and referrals.
Answers phone calls and emails.
Performs data entry and filing tasks for purchase orders, equipment inventory, and confidential employee or departmental files.
Receives, records, and distributes packages and mail.
Copies, collates, and otherwise prepares reports for mailings, meetings, and other correspondence.
Performs other related office duties as assigned.
