Summary:
Under the supervision of the Assistant to the ADAA for Academic Standards, the Office Staff for Academic Standards assists in the administrative procedures pertaining to undergraduate students' academic concerns, eligibility for promotion to the next year level, and eligibility for graduation. The work supports the Associate Dean for Academic Affairs in upholding academic standards, as contained in the academic regulations of the Loyola Schools.
Main Duties and Responsibilities * Sets/confirms appointments with the ADAA as requested by students, parents, faculty, department chairs, etc. regarding academic concerns and other inquiries.
Serves as point person for window inquiries
Responds to inquiries/concerns of undergraduate students and their parents in consultation with/as delegated by the ADA
Gathers pertinent information needed and summarizing the information for the by the ADAA and the Assistant to the ADAA reference
Provides logistical support to the Standards Committee
Sets meetings for the Standards Committee and with pertinent stakeholders
Prepares the materials needed for the meetings
Assists the Associate Dean for Academic Affairs in monitoring and following up the recommendations of the Standards Committee
Provides staff support to the Assistant to the ADAA for Academic Standards in monitoring of students' academic performance
Calls students who need to see the ADAA because of academic concerns
Calls the departments or faculty members to check on students with academic concerns
Prepares letters to parents of probationary students informing them of the student's advisory marks, QPI and probationary status
Provides logistical support pertaining to undergraduate students' graduation
Prepares the calendar of activities in preparation for graduation
Drafts memos such as those for toga measurements, program awards, list of candidates for valedictorian, etc.
Prepares the list of honor graduates, program awards, and the final list of graduates to be read by the Deans in coordination with the offices of the Registrar, Deans and VPLS
Reserves the venue for toga measurements for graduating students and the promo board for graduation announcements
Compiles and prepares materials submitted by valedictorian candidates for distribution to Standards Committee members
Assists in enrollment of special students (i.e., non-degree students, cross-registrants and auditors)
Attends to inquiries for those who intend to apply as a special student
Processes the application forms of special students
Coordinates with the Office of International Relations for the enrollment requirements of international students
Encodes the basic information of special students on intraAISIS and assigns their ID numbers
Processes the advisement and enlistment of special students in coordination with the departments and Registrar's Office
Other Duties and Responsibilities * Manages the dissemination of information on academic procedures and services
Maintains the office bulletin board
Updates information on the office webpage
Assists in the preparation of PowerPoint presentations as needed
Informs concerned faculty of students' short-term absences due to illness and other medical conditions as requested by parents or the Office of Health Services
Prepares various certifications and letters
Prepares the excuse letters for teachers of students participating in competitions, conferences, debates or other official school activities (both local and international)
Performs other duties as may be duly assigned by the immediate supervisor or his/her authorized representative/s.
Graduate of any 4-year course with at least 1-year work experience
Must have good interpersonal skills
Proficient in Microsoft Office applications and internet usage
Good oral and written communication skills
Good command of both English and Filipino languages
Must be hardworking, systematic and able to cope well with tight deadlines and significant pressure
Has initiative and can work with minimum supervision
Entry Level / Junior, Apprentice Education and Training Higher Education / Academia 1 opening Bachelor's degree graduate
