Position: Office Administrator
Location: Manila
Position Overview:
The primary responsibility of the Office Administrator is provide office and facilities administration and to support global Finance and Operations initiatives. The role requires a high level of attention to detail, strong customer service, and the ability to manage multiple priorities at once.
Responsibilities:
Manage reception: provide local reception duties such as receipt of mail, local phone calls, and monitoring deliveries
Act as local office point of contact for building management, local vendors, etc.
Oversee secure management of onsite documents (in coordination with corporate attorney's office)
Coordinate repairs and preventive maintenance activities with vendors including maintaining records and tracking
Coordinate quarterly safety inspections and emergency preparedness activities
Coordinate regular maintenance of safety equipment
Monitor stocks, and manage acquisition of office and kitchen supplies
Monitor and process requisition of office clinic/lactation room medicine supplies and clinical tools
Oversee office cleaner/s and maintenance personnel
Coordinate company-sponsored lunches and events per approved budget
Support rollout of engagement activities to meet organizational objectives
Conduct administrative portion and scheduling of New Colleague Orientation(NCO), coordinating with other members of the NCO team including local Talent Acquisition and Employee Engagement
Process bank account creation for new hires and liaise with the bank for appropriate checklist requirements
Process, update, and report monthly government remittances and supply accurate employee information list, if requested
Manage Namely system for SPI and act as point of contact for headcount/directory reporting, PTO tracking, etc
Other Responsibilities:
Conduct research
Provide regular reporting as required for the global Finance and Operations team
Prepare for meetings, provide reports, maintain schedules, meet deadlines, and complete other essential daily and long-term activities as requested
Other duties as assigned to support the Finance and Operations team globally
Requirements:
Bachelor's degree required
Proficiency with Microsoft Excel, Outlook, Word, and PowerPoint
Highly organized with a strong attention to detail
Comfortable in a fast-paced environment
Outgoing, professional and discrete, and personable
Ability to provide high-quality customer service and follow through on all assignments
Desires exposure to global projects and teams
