WORK LOCATION: TIMOG AVENUE, QUEZON CITY ONSITE WORK SCHEDULE: MONDAY TO FRIDAY, 9:00AM - 6:00PM SALARY RANGE: PHP12,397.50 to PHP16,000.00 JOB DESCRIPTION: 1.Ensure proper coordination and execution of client and supplier contracts and renewals .Duration and Schedule Monitoring .Advance Renewal Triger and Coordination .Accreditation Requirements Processing and Submission 2.Maintain an effective pool of suppliers and service providers which includes activities .Proper Sourcing, Canvassing and Accreditation of Suppliers and Service Providers .Maintaining Updated and Accurate Supplier Records and Schedules .Continuous development of Supplier Pool. 3.Ensure the proper execution and process development of general administrative tasks .Maintain and update hard copy and digital records of clients and suppliers. .Maintain calendars for contract renewal of clients and suppliers and issue timely renewal notice. .Ensure operation of equipment by completing timely preventive maintenance requirements, calling for repairs and maintaining equipment inventories. .Maintain office supplies inventory by regularly checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies. .Schedule meetings, events and maintain agendas. .Write and maintain digital records of meeting minutes. .Maintain Petty Cash Fund with accurate documentation and timely replenishment request. 4.Ensure the proper execution and process development of HR administrative tasks, including but not limited to: .Assist in employee recruitment by performing reference checks and issuing employment contracts. .Ensure completion of pre-employment requirements and contracts of new staff. .Maintain and update hard copy and digital records of employees. .Accurately record employee hiring, transfer, termination, job classification changes as well as tracking vacation, sick and emergency leaves. .Assist with performance management and employee assessment procedures by maintaining records, calendars and executing timely reminders. .Maintain accurate attendance reports and process payroll. .Administer employee benefits by advising employees of eligibility, providing application form, helping with form completion, verifying submission, and notifying employees of approvals. .Ensure the completion of compensation and benefit documentation. .Complete employee termination paperwork, clearance and exit interviews. .Maintain calendars, execute reminders and organize eventsfor important dates including but not limited to: holidays, employee birthdays, company parties, company seminars, etc. Requirements SKILLS REQUIRED FOR THE POSITION .Positive attitude .Inventory control and supply management skills .Effective administration and people management skills. .Works well under pressure and meets tight deadlines. .Highly computer literate with capability in MS Office. .Good organizational and time management skills. .Strong decision-making and problem-solving skills. .Meticulous attention to details. .Ability to accurately follow instructions.
