Position Overview:
The primary responsibility of the Office Administrator is to provide office and facilities administration and to support local operations initiatives. The role requires a high level of attention to detail, strong customer service, and the ability to manage multiple priorities at once.
Responsibilities
Act as a local point of contact for office, facilities, and administrative management.
Oversee reception duties such as receipt of mail, local phone calls, and monitoring deliveries.
Monitor stocks and procurement of office, kitchen, and medicine supplies.
Oversee and secure management of onsite documents (in coordination with local director and corporate attorney's office).
Oversee and coordinate repairs, replacements, and preventive maintenance activities with vendors and building administration management.
Arrange and coordinate quarterly safety inspections and emergency preparedness activities (fire drill, earthquake drill, etc.)
Oversee office cleaner/s and maintenance personnel.
Coordinate and ensure compliance with health and safety regulations.
Manage company-sponsored lunches and events per approved budget.
Support and rollout of employee engagement activities to meet organizational objectives.
Coordinate and manage parking space inquiries to building management.
Manage scheduling of New Colleague Orientation (NCO), in coordination with other members of the NCO team including local Talent Acquisition, Finance, IT, and Global HR.
Assist in the onboarding process of new hires. Manage creation and endorsement of company ID, access badge, and new hire kit.
Monitor and ensure deployment of IT tools and equipment to new hires.
Assist new hires in processing payroll bank account creation and liaise directly with the bank for appropriate checklist requirements.
Manage Namely system for local employees and act as point of contact for headcount/directory reporting and PTO tracking, etc.
Other Responsibilities
Conduct research
Provide regular reporting as required for the global Finance and Operations team
Prepare for meetings, provide reports, maintain schedules, meet deadlines, and complete other essential daily and long-term activities as requested
Other duties as assigned to support the Finance, HR, and Operations both local and global
Requirements:
Bachelor's degree required
Proficiency with Microsoft Teams, Excel, Outlook, Word, and PowerPoint
Knowledge of office and facilities management operations
Familiarity with office equipment, security systems, and health safety regulations
Highly organized with a strong attention to detail
Ability to work in a fast-paced environment
Outgoing, professional, discrete, and personable
Ability to provide high-quality customer service and follow through on all assignments
Desires exposure to global projects and teams
