Occupancy/Space Planner (Space Data Management)
Under general of the Occupancy Planning- Space Data Management, Occupancy/Space Planner is responsible for general CAFM and reporting services across the client's portfolio in APAC and support data on MEA. Applies knowledge to manage and update current space data based on verified existing space information or new information on any strategy projects. Provides metrics on current data and manage it with team member to upkeep the data.
Essential Duties and Responsibilities:
CAFM data management including the development and management of data entry and collection process, key monthly and quarterly occupancy performance reporting.
Provide support for updates in the system, adds, moves and changes, restack and efficiency scenario planning, and general data reliability.
Responsible for occupancy data within the system of record. Manage space walks for validation and update of occupancy metrics.
Manage allocations, maintain data accuracy, and perform quarterly data.
Attend client meetings, gather requirements, draft meeting minutes and provide required space data and information
Prepare the space allocation data for corporate real estate's annual plan by business unit
Review, and/or updates CAD drawings and/or related database(s).
Report on building data, organizational data, and occupancy metrics at the campus, metro, or regional level using MS Excel and or MS PowerPoint
Ability to organize, manage and track multiple changing priorities in a fast pace work environment
Working with Space Data team to: - Allocation inquiry per UBR (cost booked & methodology)
- Space changes to be implemented outside of updating cycle
- Attend to any charging /allocation related issues by finance or clients
- Attend to any request for information by clients
- Attend to all queries related to space data management
- Prepare monthly BRT review and allocation process
- Attend weekly COP call
- Attend all calls related to space data management
- Manage India SLA and inter-entity agreement
- Tracking of un-assigned employee (HR feed output- UFZ Assignment)
- Tracking of swipe card data
- Tracking of leaver and new joiner
Education/Previous Experience Requirements:
Bachelor's degree in Management, Architecture, Design, Real Estate, Construction or any closely related field.
Experience with Microsoft Office Suite applications including: Word, PowerPoint, Excel, Outlook, etc.
A minimum of 5-10 years' work experience in occupancy or space planning for corporate clients in a corporate real estate setting as a vendor or end user.
Proficient with the following software:
CenterStone, Manhattan (or other CAFM tools)
AutoCAD
InDesign, Illustrator, Photoshop
Report writer software
Experience generating presentation decks
Excellent administrative and organizational skills.
Effective Communication skills and able to work within a diverse corporate environment.
