1. Job Overview
We are looking for a Mobilization Assistant to join our team who is experienced in a support role, forward-thinking, tech-savvy, and can work in a fast-paced, deadline-driven environment while providing administrative support remotely.
As a Mobilization Assistant, you will handle a variety of administrative tasks such as responding to internal emails, research tasks for the business, and assisting in organizing events, booking travel arrangements. A strong Internet connection, as well as experience with communication tools such as Zoom and Teams, are required for this role.
Ultimately, you should be able to manage administrative projects and produce high-quality work with little supervision.
2. Duties and Responsibilities
· A Mobilization Assistant will oversee suppliers and contractors who visit the office and be responsible for setting up meetings, booking taxis and flights.
· Personal duties - making appointment and booking for management.
· Administration - A Mobilization Assistant will be required to collate information, create presentations and work on Word or Excel documents. Can create presentations, including using Canva. This role may also include liaising with clients and staff overseas and organizing travel and itineraries for their mobilization.
· Special projects - This can range from market research to feasibility studies but the main objective is to support mobilization business functions by providing solutions and working independently without any supervision
· Facilitate the site mobilisation process.
· Coordinate shutdown Mobilisations/ Demobilizations.
· General administrative tasks as required.
· Organise medicals and National Police Checks.
· Conduct reference checks.
· Book inductions and arrange site related training.
· Update and maintain personal database.
· Ordering of personal protective equipment to site specifications.
· Coordinate Performance Review Process of shut employees.
· Complete all administration required for the recruitment process.
· Prepare and submit all qualifications for shutdowns.
· Update and maintain Slack App for weekly flight schedule. Post any other messages as required including fortnightly team meetings.
· Register and inform staff of any new training required.
· Maintain the company's records for personnel - including coordinating with team members for inductions to be completed.
· Site readiness of all employees including induction requirements and mobilisation of shut down crews.
3. Skills
· Minimum of 3 years of experience as a Mobilization Assistant reporting directly to senior management
· Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software.
· Proficiency in collaboration and delegation of duties
· Ability to organize a daily workload by priorities.
· Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
· A proactive approach to problem-solving with strong decision-making skills.
· Exceptional interpersonal skills
