Position Title: Medical Admin Assistant
Salary: 30,000 - 35,000 PHP monthly
Reports To: Partner, Partner Advisor
Primary Relationship: Partner Team
Date: February 2024
Schedule: 5:30 AM to 2:30 PM PHT
Responsibilities:
Collaborate with SLCN staff to ensure comprehensive support for meeting participants needs
Support SLCN clinic and outreach operations by managing practice coordination, including clinic operational requirements and online/mobile services
Maintain up-to-date, high-quality documentation, including data entry, reports, and written communication, ensuring seamless information handover when necessary
Uphold professional and clinical standards, ensuring service delivery confidentiality and adherence to health, safety, and SLCN policies
Actively engage in continuous quality improvement and risk management processes, evaluating personal performance through the Annual Performance Review process
Manage reception duties, including inbound/outbound calls, voicemail, email messages, and utilizing telephone interpreting services as needed
Handle diary management, appointment rescheduling, customer relations management, and maintain participant information
Assist in new participant intake processes, managing referrals, consent forms, NDIS and GP letters, and related documentation
Ensure compliance with Medicare, NDIS, and insurance requirements, handling invoicing, payment processing, rebates, third-party invoicing, and basic bookkeeping
Process payroll, follow up on inactive participants to improve retention, maintain accurate participant waitlists, and conduct periodic participant outreach
Create online forms, and templates, assist with questionnaires, auditing processes, and completion of NDIS auditing
Maintain clinic cleanliness and ensure service continuity by filling in for other employees when required (with prior permission)
Qualifications:
Qualification/Certificate IV in Administration or Medical Administration or demonstrated experience in this field.
Minimum 2 years experience, preferably in a community or clinical practice setting.
Excellent interpersonal, oral, and written communication skills, proficiency in Microsoft Windows environment, and experience with patient information management systems.
Familiarity with NDIS and Medicare claiming procedures and compliance.
Strong administrative, and organizational skills, with keen attention to detail.
Ability to collaborate effectively across the organization, commitment to continuous quality improvement, and WHS practices.

Ability to engage respectfully with vulnerable participants and their families from marginalized backgrounds in a non-judgmental and courteous manner
