WSP, a world leading management and consultancy firm, currently have an exciting opportunity for a People and Talent Acquisition Administrator to join their HR Shared Services team.
The role of the People and Talent Acquisition Administrator is to provide People and Recruitment administrative support to the People Operations & Advisory team, Talent Acquisition team and wider People team to help deliver an optimum people service to the business.
Key Responsibility Areas:
Administration and Coordination of the Employee Lifecyle
Administrative support and document preparation for the People Operations and Payroll teams, including starters and leavers documentation and variations to employment agreements.
Support teams in provision of high-quality administration services including transactional activities, ensuring the team is working together to meet service delivery expectations.
Assist in the processes for all aspects of the employment life cycle.
Ensure cases within ServiceNow are managed in a timely manner with accurate notes.
Ensure all systems and manual processing are accurate and timely, meeting data integrity requirements.
Update and maintain the information within the People systems on time and accurately.
Ensure effective processing and filing of People systems on time and accurately.
Ensure effective processing and filing of People related correspondence and documents.
Support all areas f HR compliance.
ServiceNow, CHRIS21 and Vision Systems
Ensure all requests are logged, triaged accurately and managed via ServiceNow in a timely manner.
Management of People records for all employees in a current and accurate form in CHRIS21 and Vision.
Update all employee changes in Vision and CHRIS21 upon receiving appropriate authorization/documentation and ensuring updates occur on time and accurately.
Work alongside with the People Coordinators to ensure the high-quality responses to queries and requests and cases are spread amongst the team for processing.
Escalate issues to Senior team members where necessary.
Champion of People systems such as the HR ServiceNow Portal and HR Kiosk, business tools and initiatives.
Recruitment Administration
Provide administrative support to the Talent Acquisition team as required.
Maintain the database of all recruitment and employment information.
Manage pre-employment and reference requests, results and pre-employment audits.
Assist in the maintenance of JobScience, Idibu, Xref, CV Check, etc.
Apply a Best Practice Recruitment Process
Provide administrative support to ensure timely and professional applicant management.
Assist in the preparation of advertising and communications.
Assist the Talent Acquisition and People teams with annual Graduate, Internship and Cadet recruitment programmes.
One People Team
Work closely with the wider People Operations & Advisory and Talent Acquisition teams, to be an advocate for the People function, instilling a service excellence approach.
Participates in meetings and projects as a member of the People Operations & Advisory and Talent Acquisition teams.
Work with the Manager, People Operations, Head of People Operations & Advisory, Talent Acquisition Team, and wider People team members to execute WSP people strategy and People plan together with our clients.

Qualifications and Experience:
Relevant Tertiary Qualification in Human Resource management, or related discipline
Minimum of two years' professional experience in People discipline
Experience of using CHRIS21, Deltek Vision, Staff changes, Service Now or other HR Information Systems and business tools.
Dealing with people in a customer focused environment
Proven experience in delivering high quality People administration services in a fast-paced environment.
Skills and Behaviours:
Able to work effective and competently with people at all levels; within and external to the organization.
Strong analytics skills and attention to detail.
Knowledge of best business practice, tools and processes.
Computer literate; proficient in Windows, MS Word/Excel and other Microsoft Office applications
